Cancelling a booking
If your plans change, you can cancel a booking you no longer need so the vehicle is freed for other drivers. This article explains when cancellation is allowed, how to do it, and what happens afterward.
Who can cancel
You can cancel your own bookings. Attempting to cancel a booking that belongs to another driver is refused with "You can only cancel your own bookings". A fleet manager can additionally cancel any booking in the fleet (covered separately in the Related articles).
When cancellation is allowed
Cancellation is only possible for bookings that have not yet been used and have not already ended:

| Cancelled | No — it is already cancelled. |
| Rejected | No — a rejected booking cannot be cancelled. |
The key difference between the two cancellable states: a PendingApproval booking can be cancelled up until a manager acts on it, while a Confirmed booking can only be cancelled while it is still in the future. Once a Confirmed booking's start time has passed, you will see "Cannot cancel: booking already started".
How to cancel
- Open the booking from your bookings list.
- Choose to cancel it.
- Optionally enter a reason for the cancellation. The reason is free text and is not required, but it is stored with the booking for reference.
- Confirm.
The booking's status changes to Cancelled, and the time and — if you provided one — the reason are recorded against it. The vehicle's time slot is released immediately, so the vehicle becomes available for that window again.
Note: A cancelled booking no longer blocks availability. Cancelled and Rejected bookings are treated as non-occupying, so the vehicle can be booked again for the same period right away.
After you cancel
The cancelled booking stays in your bookings history with the Cancelled status so there is a record of it — cancelling does not delete it. You can review when it was cancelled and the reason from the booking's detail view.
Warning: Cancellation cannot be undone. If you still need the vehicle, create a new booking rather than trying to reverse the cancellation. If the same window is still free, you can rebook the same vehicle immediately.
If a manager cancels your booking
A fleet manager can cancel any booking that has not started or completed, and must provide a reason when they do. When that happens, you are notified of the cancellation and the reason, so check your notifications if a booking you expected disappears from your active list.
