Viewing your own bookings
You can review all of your reservations — upcoming, active, and past — from your bookings list. This article explains what the list shows, how to open a single booking's details, and what each status means.
Opening your bookings list
Your bookings area shows every booking that belongs to you, both future and historical, sorted with the most recent start time first. Viewing your own bookings requires the bookings:view-own permission, which the Driver role includes. You only ever see your own bookings here; other drivers' reservations are not listed.
Each row in the list shows:
- the vehicle's licence plate (Kennzeichen), brand, and model;
- the planned start and end times;
- the current status; and
- the date the booking was created.
Booking statuses
A booking moves through a defined lifecycle. The status tells you where it stands:

|---|---|
| PendingApproval | Created, but waiting for a manager to approve it before it is reserved. |
| Confirmed | Approved (or auto-confirmed) — the vehicle is reserved for you. |
| Active | You have started the trip; the vehicle is in use. |
| Completed | You have ended the trip and recorded the return. |
| Cancelled | The booking was cancelled by you or a fleet manager. |
| Rejected | A manager declined the booking during approval. |
Opening a single booking
Select any booking to open its full detail view. In addition to the summary fields, the detail view includes:
- vehicle identity: VIN (Fahrzeug-Identifizierungsnummer), model year, and colour;
- the pool the vehicle belongs to and any pickup instructions (drawn from the pool's description);
- your planned window plus the actual start time and actual return time once you begin and end the trip;
- the start odometer, end odometer, and calculated trip mileage (kilometres driven);
- your notes; and
- audit details where relevant — when it was cancelled and why, or when it was approved or rejected and the rejection reason.
Note: You can only open the details of a booking that belongs to you. Trying to open someone else's booking returns "Booking not found".
Reading trip mileage
Trip mileage is shown only after both an odometer reading at the start and one at the end exist. It is simply the end odometer minus the start odometer. If a trip has not been ended yet, the mileage field stays empty.
Acting on a booking
From a booking you can take the actions its status allows — for example cancel it while it is still upcoming, start the trip when the time arrives, or end the trip and record the odometer. Which actions are available depends on the current status; see the Related articles for each action.
Tip: If a booking you expected to be Confirmed still shows PendingApproval, your organization requires manager approval for self-service bookings. It will move to Confirmed once a manager approves, or to Rejected with a reason if declined.
