Update the communications log
This article explains how updating a communications log works in the CRM module, including the important "replace-all" behavior. Understanding it prevents accidentally losing entries. Updating communications requires the crm:manage permission.
Saving replaces the whole log
When you save a partner's or a contact's communications, the system does not merge your changes into the existing entries — it replaces the entire list with exactly what you submit. Any existing entry that is not part of the saved set is removed.
Warning: Always work from the full, current list when updating. If you save only the one new number you meant to add, every other entry for that partner or contact is deleted. Keep the entries you want to retain in the list before saving.
Edit an existing entry
- Open the CRM module and go to the partner detail page, then open the communications log for the partner or the contact.
- Change the value, label, type, primary flag, or order of any entry.
- Keep every entry you want to preserve in the list.
- Save. The complete list is written, an updated timestamp is set, and the change is recorded in the CRM audit trail.
Remove an entry
To delete a channel, remove it from the list and save. Because the save replaces the whole log, the removed entry is gone once you save the remaining set. Saving an empty list clears all communications for that partner or contact.
Reorder entries
Entries are shown in ascending sort order. To change the sequence, set the sort-order values to reflect the order you want, then save.
- Entries are stored and returned sorted by their sort-order value.
- If you leave a sort order at zero or below, the system assigns one automatically based on the entry's position in the list, so the order you enter them in is preserved.
Rules enforced on save
| Rule | What happens if broken |
|---|---|
| Each entry needs a value | Save is rejected: "Communication value is required." |
| Type must be Phone, Mobile, Fax, Email, Website, or Other | Save is rejected: "CommunicationType is invalid." |
| At most one primary entry per type | Save is rejected: "Only one primary communication is allowed for type …" |
Values and labels are trimmed automatically, and empty labels are stored as blank.
Partner and contact logs are independent
Replacing a partner's communications never touches its contacts' communications, and vice versa. Each log is updated on its own. Editing a partner's or contact's other details (name, address, and so on) is also a separate action and does not change the communications log.
Tip: Before a big cleanup, note the entries you plan to keep. Then edit, reorder, and remove in one pass and save once — a single save writes the final list and produces one clean audit entry.
