Manage contact details

This article covers keeping a partner's contact people up to date — editing their details, changing the primary contact, and deactivating people who have left. These actions require the crm:manage permission.

Edit a contact

Use editing to correct a name, update a job title, move someone to a new department, or add notes after a conversation.

  1. Open the CRM module and go to the partner's detail page.
  2. Open the contact you want to change and choose to edit it.
  3. Update the salutation, first name, last name, position, department, or notes.
  4. Adjust the primary contact and active flags as needed.
  5. Save. The contact's updated timestamp is set and the change is written to the CRM audit trail.

The first name and last name remain required. Optional fields are trimmed on save, and clearing one stores it as empty.

Change the primary contact

The primary contact appears first in the partner's contact list. To move the flag to a different person, edit the new main contact and turn on primary contact; edit the previous one and turn it off. Keeping a single primary per partner keeps the record unambiguous for everyone.

Contact ordering

Contacts are always listed with the primary contact first, then alphabetically by last name and then first name. You do not set the order manually — it follows the primary flag and the names.

Deactivate a contact

When someone leaves the partner organization or changes role, deactivate them rather than deleting. Deactivation is a soft delete that preserves the person's history and their communications.

  1. Open the contact under the partner.
  2. Choose to delete/deactivate the contact.
  3. Confirm. The contact's active flag is set to false, an updated timestamp is recorded, and the action is logged in the CRM audit trail.
Note: Deactivating a contact does not remove it. The record and its communications stay in the database. There is no hard-delete action for contacts.

Reactivate a contact

To bring a contact back, open them, edit, turn the active flag back on, and save.

How active status affects reporting

The CRM dashboard counts only active contacts. This drives several figures — total contacts, the count of partners that have at least one contact, and the count of partners that have a primary contact. Deactivating a contact therefore lowers these coverage numbers, which is intended: it reflects who you can actually reach today.

Tip: If a partner shows no reachable people after a reorganization, add the new contact and mark them primary. The dashboard's "partners without a primary contact" figure helps you spot records that need attention.
