What the CRM module does for your fleet

The CRM module in MobilityManager is where you keep a clean, shared record of the external organizations your fleet works with — and the people you deal with at each one. This article explains what the module covers and how it fits into day-to-day fleet operations.

What the CRM module is for

A fleet rarely runs on its own. You order cars from leasing companies, send vehicles to workshops for repairs, and file claims with insurers. The CRM module gives every one of these relationships a single home: a business partner (Geschäftspartner) record with addresses, tax details, contact people (Ansprechpartner), and a full communications log. Instead of tracking phone numbers in spreadsheets or inboxes, your team looks up the partner once and sees everything.

What you can store

  • Business partners — one record per organization, classified as a Supplier or an Insurance partner.
  • Contacts — the individual people at that partner, with salutation, position, and department.
  • Communications — phone, mobile, fax, email, website, and other entries, held both at the partner level and per contact.
  • Addresses and identifiers — street, postal code, city, country, tax ID, VAT number, and (for insurers) a policy-number prefix.

Partner types in a fleet context

The module uses exactly two partner types, so classify each organization by the role it plays for your fleet:

Note: A leasing company or a workshop is stored as a Supplier. Only insurers use the Insurance type, which unlocks the policy-number prefix field and a link to insurance companies managed in the Versicherung (insurance) module.

Where the module lives and who can use it

You reach the module from the admin area under the CRM section, which contains a Dashboard, a Partners list, and quick-filtered Suppliers and Insurances views.

  • View access requires the crm:view permission. With it you can browse partners, contacts, and communications.
  • Editing — creating, updating, or deactivating partners and contacts, and changing communications — requires the crm:manage permission.

By default, SystemAdmin and FleetManager roles hold both permissions. The Driver role has no CRM access. Custom roles can be granted either permission individually. The module also has to be entitled for your tenant before it appears.

Auditing and multi-tenancy

Every partner and contact you create, update, or deactivate, and every change to a communications log, is written to the CRM audit trail with the acting user and a trace ID. All CRM data is scoped to your tenant, so one organization's partners are never visible to another.

Tip: Start by adding your most-used leasing company, primary workshop, and main insurer. Once those partners exist, other modules and your team can reference consistent, verified contact details straight away.
