Assign a damage case to a vehicle and driver

This article explains how a damage case (Schadenfall) is linked to a vehicle and, optionally, to a driver — and the rules that govern changing those links later.

Vehicle is required, driver is optional

Every damage case must be attached to a vehicle. The vehicle is set when you create the case and cannot be left blank. The driver is optional: you can name the person who was using the vehicle at creation, or leave it empty and add them later.

Both the vehicle and, if supplied, the driver must already exist in your fleet. If you reference one that does not exist, the save is rejected with a "Vehicle not found" or "Driver not found" message.

Note: Linking the case to a vehicle is what makes it appear in that vehicle's history, so choose the correct vehicle carefully at creation.

Assigning or changing the driver

You can add, change, or clear the driver on an open or in-repair case. This is useful when the driver is identified only after the damage is first reported.

  1. Open the case in the detail view.
  2. Set the driver to the correct person, or clear it to leave the case with no driver.
  3. Save. The driver link is updated.

Clearing the driver removes the link entirely, returning the case to an unassigned-driver state. Assigning a driver requires the damage-management:transition permission.

Changing the vehicle

The vehicle can only be changed while the case status is open. This guards against a case being reattached to a different vehicle after work or repair has already begun.

Warning: If you attached the wrong vehicle and the case is already in repair, you cannot simply swap the vehicle. Move the case back to open first (if the workflow allows) or create a corrected case, because the vehicle is locked once the case leaves the open state.

Who can do this

Assigning or changing the vehicle and driver requires the damage-management:transition permission. SystemAdmin and FleetManager hold this by default. A Driver does not, and cannot reassign cases unless a custom role grants the permission.

Where the links appear

Once assigned, the case list and the detail view show the vehicle's licence plate and the driver's name, so you can identify the affected vehicle and person at a glance without opening each record.
