Create a damage case (Schadenfall)
This article shows you how to open a new damage case (Schadenfall) in the Damage Management module and which details you must supply before the case can be saved.
Before you start
Creating a case requires the damage-management:transition permission. This is held by SystemAdmin and FleetManager by default; a Driver cannot create cases unless a custom role grants the permission. The vehicle you want to attach must already exist in the fleet, and if you plan to name a driver, that driver record must exist too.
Note: The Schadensnummer (damage number) is entered by hand and must be unique within your tenant. If the number is already in use you will get a "Schadensnummer already exists" conflict and the case will not be saved.
Open the new-case form
- Go to the Damage Management module and open the case list.
- Start a new case (the "New case" action). The create form opens.
- Fill in the required fields listed below, then save.
Required fields
All of these must be provided or the form will report the missing fields and refuse to save.

| Mileage | Vehicle mileage (km) at the time of the damage. |
| Damage date (Schadensdatum) | The date the damage occurred. |
| Notification date (Meldedatum) | The date the damage was reported to you. |
| Description | Free-text account of the damage (up to 2000 characters). Use this for the circumstances and location. |
| Vehicle | The affected vehicle. Required, and must already exist in the fleet. |
Optional field
- Driver — You may name the driver who was using the vehicle, but this is optional. You can leave it blank and assign a driver later while the case is still open.
What happens on save
When the case is created it is given the status open automatically and a creation timestamp is recorded. You are returned the new case, which you can then open in the detail view to add classification, an insurer, financial line items, deadlines, and documents.
Tip: There is no separate "incident location" field. Record where the damage happened, and any other circumstances, inside the Description so the information travels with the case.
Common errors
- Duplicate Schadensnummer — the number is already used by another case in your tenant. Choose a different number.
- Vehicle not found — the selected vehicle does not exist. Add or correct the vehicle first.
- Driver not found — a driver was named but no matching record exists. Leave the driver blank or pick a valid one.
