Bulk-updating financial line items

Bulk update lets you save a damage case's entire set of financial line items in one operation, creating, editing, removing, and reordering lines together. This article explains its full-replacement behavior and the rules that apply.

Before you start

Bulk update requires the Transition damage cases permission (damage-management:transition), held by SystemAdmin and FleetManager by default. As with single line items, bulk update is blocked on a closed case, so finalize costs before closing.

How full replacement works

A bulk update submits the complete list of line items that should exist on the case. The system compares your list against what is currently stored and reconciles them:

  • A line with an existing id updates that line in place.
  • A line without an id is created as a new line.
  • Any stored line not included in your list is deleted.
Warning: Because omission means deletion, always submit the full set of lines you want to keep. If you send only the lines you changed, every line you left out will be removed from the case.

Limits and validation

The same rules that govern single line items apply to every line in the batch, and a few batch-level limits are added:

  • A maximum of 20 line items per case. A larger list is rejected.
  • Each line must pass validation: quantity greater than zero, unit price zero or greater, VAT rate between 0 and 100 (entered as a percentage such as 19), and Eigenanteil (own share / deductible) between zero and the line's gross amount.
  • Every line must use the same currency. Lines are pinned to your tenant's configured currency so damage costs stay consistent with Beleg (receipt/expense document) costs across the platform.
  • Each line requires a description.

If any line fails validation, the whole batch is rejected and nothing is saved, so the case is never left in a half-updated state.

What you get back

A successful bulk update returns the resulting item count together with the recalculated total net amount and total gross amount for the case, so you can immediately confirm the new totals.

When to use bulk update

  1. Load the case's current line items into the editor.
  2. Add new lines, edit existing ones, and remove any that no longer apply.
  3. Set the sort order on each line to control how they are listed.
  4. Save once to apply all changes together.
Tip: Use bulk update to reorder lines or to rework an estimate in a single save. For a quick one-off change to a single line, editing that line directly is simpler and avoids the risk of accidentally dropping other lines.
