Maintaining insurance companies
Insurance companies (Versicherungen) are the tenant-wide directory of insurers you assign to damage cases and reference on claims. This article explains how to add an insurer and how the list behaves.
Before you start
Adding an insurer requires the Transition damage cases permission (damage-management:transition). Viewing the insurer list requires the View damage management permission (damage-management:view). Both permissions are held by SystemAdmin and FleetManager by default and can be granted to custom roles. Insurers are stored per tenant, so each organization maintains its own list.
Add an insurance company
In the Damage Management module, open the insurance companies area and create a new insurer. Only the name is mandatory; the other fields are optional and can be left blank.
| Field | Required | Purpose |
|---|---|---|
| Name | Yes | The insurer's display name. Used everywhere the insurer is shown and picked. |
| Policy number prefix | No | A prefix that helps you recognize this insurer's policy numbers. |
| Address | No | Postal address of the insurer. |
| Contact details | No | Free-text notes such as a claims hotline or contact person. |
When you save, the new insurer is created and immediately marked active, so it appears in insurer pickers on damage cases right away.
Note: Leading and trailing spaces are trimmed from every field, so "Allianz " and "Allianz" are treated as the same name.
How insurers link to your CRM partners
Creating an insurer also keeps your CRM partner directory in sync. The system looks for an existing CRM partner of type Insurance with the same name:
- If none exists, a new insurance partner is created with the same name, policy number prefix, address, and contact notes.
- If a partner with that name already exists, it is reused. Any empty fields on that partner are back-filled from your input, but existing values are never overwritten.
This means you can maintain insurers from the Damage Management module without creating duplicate CRM records.
View the insurer list
The insurance companies list shows every active insurer for your tenant, sorted alphabetically by name. Each row displays the name, policy number prefix, address, and active state. This list feeds the insurer picker when you assign an insurer to a case, so keeping it accurate keeps case assignment fast.
Tip: Create the insurer once, centrally, before you start assigning it to cases. Because a claim's insurer must match the insurer assigned to its case, a clean, deduplicated list prevents mismatches later.
