Performing a verification: accept, reject, or manual check
This article shows fleet managers how to review a driver's licence submission from the verification queue and complete the check by accepting it, rejecting it, or recording a manual (in-person) check.
Who can verify
Reviewing and completing verifications requires the licenseVerification:verify permission, held by the FleetManager and SystemAdmin roles. The Führerscheinkontrolle module must be enabled for your tenant.
Open the verification queue
The verification queue lists submitted requests. By default it shows Pending requests, but you can filter by status (or choose All to see every request). Requests are ordered with the longest-waiting at the top. Each queue item shows the driver's name and email, when it was uploaded, the licence classes on file, the current status, how many days it has been waiting, and the front and back document references to inspect.
Accept a verification
Open the request, inspect the front and back document images, and compare them against the licence classes on the driver's profile.
- Confirm the licence classes you can verify from the documents.
- Accept the request, submitting the list of verified licence classes.
When you accept, the platform:
- Sets the request status to Accepted and records you as the reviewer and the review time.
- Writes an immutable audit entry with the outcome and the confirmed classes.
- Sets the driver's LastVerifiedAt to now and NextVerificationDueDate to now plus the verification cycle interval (180 days by default).
Reject a verification
If the documents are unreadable, mismatched, or expired, reject the request. A reason is required — rejecting without one is refused. The reason is stored on the request and in the audit entry, and the driver can see it on their verification status so they know what to fix.
Note: Rejecting does not change LastVerifiedAt or NextVerificationDueDate. The driver remains due until a check is accepted.
Record a manual check
When you inspect a licence in person rather than by document upload, record a manual check against the driver. You must supply at least one verified licence class. This creates an already-accepted verification record with no documents, writes an audit entry, and refreshes the driver's verification dates exactly as an accepted upload does.
Warning: If the driver already has a Pending request, a manual check is refused with a "pending request exists" conflict. Review the pending submission instead of creating a parallel record.
Requests can only be reviewed once
Once a request is Accepted or Rejected, trying to accept or reject it again returns an "already reviewed" conflict. To re-check a driver, wait for or trigger a new request, or record a manual check.
