Assigning drivers to a pool

This article explains how to give a driver access to a non-shared pool in MobilityManager by creating a driver-to-pool assignment. Assignments are what let a driver book the vehicles in a restricted pool.

Permission required

Assigning drivers to pools requires the vehicle-management permission, held by the FleetManager role and above. Drivers cannot assign themselves.

When you need an assignment

You only need to assign a driver to non-shared pools. Every active driver already has access to the shared car-sharing pool automatically, so assigning someone to the shared pool is unnecessary. For any other pool, access exists only after you create an assignment.

Assign a driver

  1. Open the driver-to-pool assignment area.
  2. Select the driver and the target pool.
  3. Confirm the assignment.

The system records the assignment together with the date and time and the ID of the user who made it, so there is an audit trail of who granted access and when.

Rules the system enforces

  • The driver must be active. Assigning an inactive driver is rejected with "Cannot assign inactive driver to pool".
  • The pool must be active. Assigning to an inactive pool is rejected.
  • The assignment must be new. If the driver is already assigned to that pool, the request is refused as a conflict with "Driver is already assigned to this pool".
Note: The "already assigned" conflict is harmless — it simply means the access you were adding is already in place.

What the driver gains

Once assigned, the driver can access all active vehicles in that pool. Those vehicles appear in the driver's self-service list of bookable vehicles alongside the shared-pool vehicles they can already use. Access takes effect immediately.

Tip: To grant a whole team access to a set of vehicles, create a dedicated non-shared pool, move those vehicles into it, and assign each team member to the pool. This keeps access easy to review and adjust.
