Creating a vehicle pool

This article shows you how to create and maintain a vehicle pool in MobilityManager. Pools are logical groupings of vehicles (for example "Executive Fleet" or "Depot North") that you use to control which drivers can book which vehicles.

Before you start

Creating, renaming, and deleting pools requires the vehicle-management permission, which is granted to the FleetManager role and above. Drivers with view-only permission can see pools but cannot change them.

Create a pool

1. Open the vehicle pools area for your tenant.
2. Choose to create a new pool.
3. Enter a Name (required, up to 100 characters). The name must be unique within your tenant; comparison ignores case, so "Depot" and "depot" are treated as the same.
4. Optionally add a Description (up to 500 characters) to explain the pool's purpose.
5. Save. The pool is created as an active, non-shared pool with no vehicles yet.

Note: If you enter a name that already exists, creation is rejected with "A pool named '…' already exists". Choose a different name.

The shared car-sharing pool

Every tenant already has one special pool, the "Shared Car-Sharing Pool", created automatically. It is flagged as the shared pool and every active driver has access to it without an assignment. You cannot create a second shared pool through the create action — new pools you make are always non-shared.

Rename or update a pool

You can change a pool's name and description at any time with vehicle-management permission. The same uniqueness rule applies when you rename. The shared car-sharing pool is protected: attempts to rename it are rejected with "Cannot rename the shared car-sharing pool", although you can still update its description.

Delete a pool

A pool can only be deleted when it is empty and is not the shared pool:

• The shared car-sharing pool can never be deleted.
• A pool that still contains active vehicles cannot be deleted — you will see a message stating how many vehicles remain.

To delete a non-empty pool, first move its vehicles to another pool, then delete it.

Tip: If a pool is no longer needed but still holds history, consider leaving it in place rather than emptying and deleting it. Deletion is intended for genuinely unused pools.
