Total cost of ownership per vehicle
Every vehicle in MobilityManager has a Total-Cost-of-Ownership (TCO) figure that gathers all of its costs in one place. This article explains what that figure includes, where it appears, and how the period affects it.
What per-vehicle TCO covers
A vehicle's TCO is the sum of every cost source the platform can attribute to that vehicle in a given period. It draws on exactly the same collectors as the fleet-wide Cost Cockpit, so a vehicle's total covers all registered sources — not just damage and receipts:
- Fuel from its refuelling records.
- Maintenance and service costs.
- Damage repair line items from its damage cases.
- Its share of insurance premiums.
- Leasing/financing, charged per active month.
- Receipts (Belege) booked against the vehicle, excluding drafts and rejected documents.
Where you see it
The per-vehicle TCO powers the Kosten (costs) tab of the Fahrzeugakte (vehicle file) and is included in the vehicle file PDF export. The summary returns the vehicle's total for the period, a breakdown by cost category, and a month-by-month trend.
Note: If a vehicle has no recorded costs in the period, the cost tab shows a clean zero state — a total of zero with empty category and trend lists — rather than an error. That means "nothing recorded yet", not "data missing".
How the period is chosen
When no dates are supplied, the vehicle cost summary defaults to the current year to date: from 1 January of the current year up to now. Set an explicit "from" and "to" to report a specific window, such as a leasing contract year or a single quarter.
Reading the category split
The categories are the same keys used across the cockpit: fuel, maintenance, damage, insurance, leasing, fines, and one entry per receipt type. They are ordered largest first, so you can see at a glance whether a vehicle's cost is dominated by fuel, financing or repairs.
Tip: Use the monthly trend on the cost tab to separate a structural cost from a one-off. A steady monthly baseline is usually leasing plus routine fuel; a single tall month is typically a repair or an annual insurance installment.
Attribution details worth knowing
- Shared insurance policies are split evenly across all vehicles they cover, so each vehicle carries its fair share rather than the whole premium.
- Fines are attributed to a cost center, not to a specific vehicle, so they do not appear in a single vehicle's TCO.
- Cost centers are inherited from the vehicle when a cost record doesn't specify one, keeping the vehicle's costs consistent with its Kostenstelle.
Who can view it
The vehicle cost tab and its TCO figure rely on the fleet cost analytics and require the fleetcost:view permission, typically held by the FleetManager role. The Fleet Cost Cockpit module must also be licensed.
