Filtering the cost cockpit by dimension and period

The Fleet Cost Cockpit has two filters that shape every number on the screen: the dimension you group by and the period you report on. This article shows how each one changes the view.

Filtering by dimension

The dimension controls how costs are grouped into buckets. Switching it does not change the grand total for a given period — it only changes how that total is broken down. The available dimensions are:

• Fleet — one combined total for the whole fleet. This is the default.
• Vehicle — one bucket per vehicle, labelled by licence plate.
• Pool — one bucket per vehicle pool.
• Cost center — one bucket per cost-center code (Kostenstelle).
• Driver — one bucket per driver.

Within each dimension, buckets are returned sorted by total cost, highest first, so the most expensive vehicle, pool or cost center is always at the top of the list.

Note: Not every cost can be attributed to every dimension. Fines, for example, are not tied to a specific vehicle or driver, so under the Vehicle or Driver dimension they appear in the (unassigned) bucket. The grand total still includes them.

Filtering by period

The period filter sets the "from" and "to" dates. Every collector only counts costs whose effective date falls inside that window:

• Fuel is filtered on the refuelling date.
• Belege are filtered on the Beleg date.
• Insurance and fines are filtered on the payment date.
• Maintenance is filtered on completion date (or scheduled/created date when no completion date exists).
• Damage is filtered on when each financial line item was recorded.
• Leasing charges one monthly rate for each month of the contract that overlaps the window.

The default period

If you don't set dates, the cockpit reports the current year to date: from 1 January of the current year up to the present moment. Set a "from" date to start earlier, or a "to" date to close the window at a fixed point such as a month-end or quarter-end.

Tip: To compare periods fairly, use equal-length windows — for example set 1 January to 31 March, then 1 April to 30 June. Because leasing is charged per active month, whole-month boundaries keep leasing costs comparable between periods.

Combining the two filters

Dimension and period work together. A typical workflow is:

1. Set the period to the range you want to analyse.
2. Start on the Fleet dimension to read the grand total and category split.
3. Switch to Cost center or Vehicle to see which buckets drive that total.
4. Drill into a single bucket to see its category breakdown and monthly trend.

Who can use the filters

Viewing the cockpit and its filters requires the fleetcost:view permission, usually held by the FleetManager role. The filters themselves are open to anyone who can view the cockpit — there is no separate permission for changing the dimension or period.
