What fuel management (Tankmanagement) does
Fuel management (Tankmanagement) is the MobilityManager module for recording every litre of fuel your fleet uses, what it costs, and where it came from. This article explains what the module tracks and who can work with it.
What the module covers
Tankmanagement brings your on-site tanks, fuel cards, refuelling events, and fuel budgets together so that consumption and cost stay auditable per vehicle and per cost center (Kostenstelle). Working areas are:
- Tanks — company storage tanks with a fuel type, capacity, current level, and a minimum-level threshold that drives low-level alerts.
- Refuelling records — a single fill-up, either dispensed from one of your tanks or bought externally at a public station on a fuel card.
- Fuel cards — provider cards assigned to a vehicle or driver, with an optional monthly limit and expiry date.
- Fuel-card transaction import — a staged upload workflow that turns a provider file (DKV, UTA, or generic CSV) into draft expense documents.
- Fuel prices — dated price-per-litre entries per fuel type, so you always have a current reference price.
- Budgets — a spend cap for a period, optionally scoped to a cost center and fuel type, tracked against actual spend.
- Dashboard and reports — a live overview plus consumption, cost-analysis, and budget-versus-actual reports, with CSV exports.
How the pieces connect
When you record a refuelling that includes cost data, the module automatically creates a linked Beleg (receipt/expense document) of type fuel so the money flows into your expense and financial reporting. If the fuel came from a company tank, that tank's current level is reduced by the quantity dispensed. Refuelling records carry an optional vehicle, driver name, odometer reading, receipt number, fuel card, and cost center, which is what makes per-vehicle and per-cost-center reporting possible.
Note: Tankmanagement is a licensed module. If you do not see the fuel area in the navigation, your company may not have the module entitlement, or your role may lack the required permission.
Who can use it
Access is controlled by three permissions rather than by role name:

By default both the FleetManager and SystemAdmin roles hold all three permissions. The Driver role has none of them, so fuel data stays within fleet administration. You can grant any of the three to a custom role.
Auditing
Creating, updating, or deactivating a tank, fuel card, or refuelling record writes an entry to the module audit log with the acting user and a trace ID, giving you a tamper-evident history of who changed what.
