Record an insurance claim

Published:
Updated:

This article explains how insurance claims come into being in MobilityManager and how you record the insurance detail on them from the Versicherung module. Working with claims here requires the versicherung:claims permission.

Where a claim starts

An insurance claim always begins from a damage case (Schadensfall) in the Schadenmanagement (damage management) module. When a vehicle is damaged, you open a damage case with its Schadensnummer (damage number), and a claim is raised against the responsible insurer. The Versicherung module then lets you enrich that claim with policy, adjuster, fault, and financial detail. In other words, you do not create a bare claim in Versicherung - you record and complete the insurance side of an existing damage case.

Note: Every claim is tied to exactly one damage case and one insurer. If a claim is missing, check that the underlying damage case exists in Schadenmanagement and that a claim has been raised against the insurer.

Open the claim

  1. Open the Versicherung module and go to the Claims area.
  2. Find the claim - search by claim number or by the Schadensnummer of its damage case, or filter by status, claim type, policy, or vehicle.
  3. Open the claim to see its current detail.

Record the insurance detail

Use the enrich (enhance) action to complete the claim. You only need to fill in the fields you know; anything you leave blank keeps its existing value.

Link it to a policy

Set the policy so the claim is tied to the specific contract that covers the incident. This is what lets loss-ratio and cost reports attribute the claim correctly.

Classify the claim

FieldValues
Claim typeCollision, Theft, Vandalism, Weather, Glass, Fire, or ThirdParty
Fault classificationAtFault, NotAtFault, SharedFault, or Unknown

Enter the financials

FieldMeaning
Reserve amountThe estimated claim cost the adjuster sets aside.
Deductible appliedThe Selbstbeteiligung (excess) charged against this claim.
Subrogation amountMoney recovered through subrogation (Regress) from a third party.
Subrogation statusNone, Pending, InProgress, Recovered, or Failed.

Record the adjuster and handling

  • Adjuster name - the person at the insurer handling the claim.
  • Adjuster reference - the insurer's external reference number for the claim.
  • Closed date and closure reason - set these when the claim is finalised (see below).

Save your changes

Save the claim to store the detail. The enrich action updates only the fields you provided, and the change is written to the module audit trail. The settlement amount and settlement date, which record the final payout, are covered in the tracking article.

Tip: Enter the reserve amount early, even if it is a rough estimate. It feeds the loss-ratio and claims reports so you can see your likely exposure before the claim settles.
