Track claim status and payouts
This article explains how to follow an insurance claim from open to closed and how to record its payout in the Versicherung module. Viewing and updating claims requires the versicherung:claims permission.
Finding and filtering claims
The Claims area lists every insurance claim with its claim number, the Schadensnummer (damage number) of the linked damage case, insurer, policy, status, claim date, and settlement amount. To narrow the list you can:
- Search by claim number or Schadensnummer.
- Filter by status, claim type, policy, or vehicle.
- Sort by claim date (the default, newest first), claim number, status, or settlement amount.
Understanding claim status
The status field shows where the claim stands with the insurer. A claim counts as open until it is Settled or Denied and has a closed date. The insurance dashboard shows a live count of open claims and a breakdown of claims by status, so you can see your whole book at a glance.
Note: A claim is treated as closed only once it has been marked Settled or Denied and given a closed date. Setting a settlement amount alone does not close the claim.
Recording the payout
When the insurer settles, record the outcome so your reports stay accurate:

| Settlement amount | The amount the insurer paid out on the claim. |
| Settlement date | The date the payout was agreed or received. |
| Deductible applied | The Selbstbeteiligung (excess) netted against the claim. |
| Subrogation amount | Any money recovered from a third party through subrogation (Regress). |
Closing a claim
To finalise a claim, use the enrich action to set the closed date and a closure reason:
- Settled - the claim was paid.
- Denied - the insurer declined the claim.
- Withdrawn - the claim was withdrawn.
- Expired - the claim lapsed.
- Open the claim in the Versicherung module.
- Use the enrich action.
- Enter the settlement amount and date if a payout was made.
- Set the closed date and choose a closure reason.
- Save.
Tracking subrogation (Regress)
If you are pursuing recovery from a third party, keep the subrogation status current - None, Pending, InProgress, Recovered, or Failed - and record the recovered amount as it comes in. This lets you see which claims still have money to be recovered even after the insurer has settled.
Tip: Keep the reserve amount updated while a claim is open and enter the settlement amount as soon as it is agreed. The gap between reserve and settlement is a useful check on how well estimates match actual costs.
Where the numbers go
Everything you record here feeds the reports. Settlement amounts drive the loss-ratio report (claims cost against premiums paid) and the claims-frequency report (average claim cost per month), while the dashboard rolls up open claims and the claims-status breakdown. Each update you make is written to the module audit trail.
