Add an insurance policy for a vehicle or fleet
This article walks you through creating an insurance policy in the Versicherung (insurance) module, whether it covers a single vehicle or your whole fleet. Creating and editing policies requires the versicherung:manage permission, typically held by a FleetManager.
Before you start
- Make sure the insurer already exists. The policy form offers a picker of active insurance companies; insurers themselves are maintained in the Schadenmanagement (damage management) module.
- Have the policy document to hand so you can enter the policy number, term, premium, and deductible (Selbstbeteiligung) accurately.
- Decide whether this is an individual policy (one vehicle) or a Flottenversicherung (fleet insurance) covering many vehicles.
Create the policy
- Open the Versicherung module and go to the Policies area.
- Start a new policy.
- Enter the policy number (for example, HV-2026-00142). It must be unique within your organisation.
- Choose the coverage type - for example Haftpflicht (third-party liability), Vollkasko (comprehensive), Teilkasko (partial cover), GAP, Flottenversicherung, Insassenunfall (passenger accident), or Rechtsschutz (legal protection).
- Select the insurer from the picker.
- Set the start date and end date of the term. The end date must be later than the start date.
- Enter the annual premium and the deductible, both in EUR. Neither may be negative.
- Optionally add a renewal date, payment frequency, coverage limit, coverage details, broker, contract reference, and notes.
- Save the policy.
Note: Every newly created policy is saved with the status Active, regardless of its dates. If the contract has not yet begun or should be held, change the status to Pending or Suspended by editing the policy after it is created.
Individual vehicle vs. fleet policy
How you attach vehicles depends on the policy scope:
- Individual policy - set the primary vehicle directly on the policy. Choose the vehicle when you create the policy.
- Fleet policy - leave the primary vehicle empty and add vehicles as assignments, each with its own coverage period. This is how one Flottenversicherung can cover many vehicles at once.

Validation rules
The form rejects the policy and shows a validation message if any of these are not met:

After creating the policy
Once saved, the policy detail view shows counts of linked claims, active certificates, and pending premium payments. From here you can edit the policy, schedule premiums, issue certificates, and later renew or cancel it. Every create, edit, renew, and cancel action is recorded in the module audit trail.
Tip: Enter the renewal date about a month before the end date so the policy shows up in the dashboard's "expiring within 30 days" alert and nothing lapses unnoticed.
