Link an insurance policy to vehicles

Published:
Updated:

This article explains how to attach vehicles to an insurance policy in the Versicherung module, both for single-vehicle policies and for fleet policies that cover many vehicles at once. Editing policy coverage requires the versicherung:manage permission.

Two ways to link vehicles

MobilityManager supports two coverage models, and which one you use depends on the policy:

  • Individual policy - the policy has a single primary vehicle set directly on it. Use this when one contract covers one vehicle.
  • Fleet policy (Flottenversicherung) - the policy has no single primary vehicle. Instead, each covered vehicle is added as a separate vehicle assignment with its own coverage period. Use this when one contract covers many vehicles.
Note: The two models are complementary. An individual policy uses the primary-vehicle field; a fleet policy uses vehicle assignments. Choose one approach per policy so coverage is unambiguous.

Link a single vehicle (individual policy)

  1. Open the policy in the Versicherung module, or create a new one.
  2. Set the primary vehicle to the vehicle you want to cover.
  3. Save the policy.

The vehicle's licence plate then appears on the policy list and detail views, and you can filter the policy list by vehicle.

Add vehicles to a fleet policy

A fleet policy uses vehicle assignments, each of which records when a vehicle joined and, optionally, when it left the policy.

  1. Open the fleet policy and go to its vehicle assignments.
  2. Add an assignment for each vehicle you want to cover.
  3. For each assignment, set the assigned-from date - the day cover for that vehicle begins.
  4. Leave assigned-to empty while the vehicle remains covered.
  5. Optionally add a note explaining the assignment.
  6. Save.

What each assignment records

FieldMeaning
VehicleThe vehicle covered under this fleet policy.
Assigned fromThe date cover for this vehicle starts.
Assigned toThe date cover ends. Empty means the vehicle is still covered.
NotesOptional free text about the assignment.

Remove a vehicle from a fleet policy

To take a vehicle off a fleet policy without losing its history, set the assignment's assigned-to date rather than deleting the record. This keeps an accurate audit of when each vehicle was covered, which matters when a claim later refers to a period in the past.

Warning: Do not remove or change a vehicle assignment for a period that already has claims attached. The coverage history should continue to reflect that the vehicle was insured when the incident occurred.

Reviewing coverage

The policy detail view lists every vehicle assignment with its plate and coverage dates, so you can see at a glance which vehicles a fleet policy currently covers. To find every policy touching a particular vehicle, filter the policy list by that vehicle.

Tip: When a new vehicle enters service under an existing fleet policy, add its assignment straight away and set the assigned-from date to the delivery date, so cover and premium allocation line up with real usage.
