Insurance policy fields reference

Published:
Updated:

This reference explains every field on an insurance policy in the Versicherung module, so you know exactly what to enter and what each value means. Viewing policies requires versicherung:view; editing them requires versicherung:manage.

Identification and coverage

FieldMeaning
Policy numberThe contract's unique identifier within your organisation (up to 100 characters), for example HV-2026-00142. Required.
Coverage typeThe kind of cover. Required. Supported values include Haftpflicht (third-party liability), Vollkasko (comprehensive), Teilkasko (partial cover), GAP, Flottenversicherung (fleet insurance), Insassenunfall (passenger accident), and Rechtsschutz (legal protection).
InsurerThe insurance company underwriting the policy, chosen from active insurers. Required.
BrokerOptional insurance broker (Makler), linked from your CRM partners.
Contract referenceOptional free-text reference to the underlying contract (up to 200 characters).

Vehicle scope

FieldMeaning
Primary vehicleThe single vehicle for an individual policy. Leave empty for a fleet-wide policy, then add vehicles as assignments instead.

Term and renewal

FieldMeaning
Start dateWhen cover begins.
End dateWhen cover ends. Must be later than the start date.
Renewal dateOptional date the next renewal is expected. Used to flag the policy as expiring soon.
Auto-renewA flag noting that the contract renews automatically. It is carried over when you renew the policy.

Premium and financials

FieldMeaning
Annual premiumThe yearly premium in EUR. Cannot be negative.
Payment frequencyHow premiums are billed: Monthly, Quarterly, SemiAnnual, or Annual. Defaults to Annual.
DeductibleThe Selbstbeteiligung (excess) in EUR that you bear per claim. Cannot be negative.
Coverage limitOptional maximum payout in EUR. If entered, cannot be negative.
Coverage detailsOptional structured detail about sub-limits and exclusions (up to 4000 characters).

Status

The status field describes where the policy sits in its lifecycle:

  • Active - in force. All newly created policies start here.
  • Pending - not yet in force.
  • Suspended - temporarily paused.
  • Expired - term has ended; set automatically on the old policy when you renew.
  • Cancelled - terminated; set when you cancel the policy.
Note: You cannot set the status on the create form - a new policy is always Active. To change it, edit the policy afterwards, or use the dedicated renew and cancel actions.

Notes and reference counts

The Notes field holds free text (up to 2000 characters). On the policy detail view you will also see read-only counts that the system maintains: the number of linked claims, active certificates, and pending premium payments.

Tip: Use the coverage limit and deductible together so reports and the dashboard's average-deductible figure reflect your true exposure.
