Renew or cancel an insurance policy
This article explains how to renew an insurance policy for a further term and how to cancel one you no longer need, using the Versicherung module. Both actions require the versicherung:manage permission, typically held by a FleetManager.
Renewing a policy
Renewing creates a fresh policy for the next term while preserving the old one for your records. Use it when the insurer continues cover on the same terms.
How to renew
- Open the policy in the Versicherung module.
- Choose the renew action.
- Confirm. The system then creates the follow-on policy and shows you its detail view.
What renewal does
Renewal is automatic and follows fixed rules:
- The original policy's status is set to Expired.
- A new policy is created with the same policy number plus a
-Rsuffix (for example, HV-2026-00142 becomes HV-2026-00142-R). - The new term starts on the old policy's end date and runs for one year.
- The new renewal date is set to 30 days before the new end date.
- The coverage type, insurer, broker, vehicle, premium, payment frequency, deductible, coverage limit, and coverage details are all carried over.
- The new policy's status is Active, and its notes record that it was renewed from the original policy.
Note: Renewal always creates a one-year term at the same premium. If the insurer changed the premium, term length, or coverage, renew the policy and then edit the new policy to enter the updated figures.
Tip: If you renew the same policy more than once, the suffix builds up (for example, ...-R-R). Consider editing the new policy number to your own scheme after renewing so numbers stay tidy.
Cancelling a policy
Cancel a policy when the contract ends early or is terminated. Cancelling does not erase the policy - it is a soft action that keeps the full history and audit trail.
How to cancel
- Open the policy in the Versicherung module.
- Choose the delete or cancel action.
- Confirm.
What cancellation does
- The policy's status changes to Cancelled.
- The record, its vehicle assignments, premiums, claims, and certificates remain in the system.
- The action is written to the module audit trail.
Warning: Cancelling is a status change, not a hard delete, and it does not automatically cancel outstanding premium installments or open claims. Review any due premiums and open claims linked to the policy and settle them separately.
Suspending instead of cancelling
If cover is only paused - for example a vehicle is temporarily off the road - do not cancel. Instead, edit the policy and set its status to Suspended. You can return it to Active later without creating a new policy.
Finding policies due for renewal
The insurance dashboard highlights policies expiring within 30 days, and you can filter the policy list by end date to plan renewals ahead of time. Keeping the renewal date populated ensures nothing lapses unnoticed.
