Understanding seat limits (companies, vehicles, users)
This article explains the three seat limits your MobilityManager license enforces — companies, vehicles, and users — and precisely how each one is counted, so you can plan your fleet within your entitlements.
The three limits
Your license carries a maximum for each of the following. The values come from your signed key (or the demo profile) and are shown in the license status view.

Active-seat counting
Vehicles and users are counted as active seats, which means deactivating one frees a seat:
- Users: only active accounts count. A deactivated (offboarded) user no longer consumes a seat, so a team that has churned members is not blocked from adding a new person — including a user provisioned through single sign-on.
- Vehicles: only active vehicles count, and the total spans every company. If you run three companies, their active vehicles are added together and compared against the single vehicle limit.
- Companies: counted as the number of company records that exist.
Note: Because the vehicle limit is global rather than per company, one busy company can consume the entire vehicle allowance. Distribute vehicles across companies with your total cap in mind.
Why active counting matters
Active-seat counting keeps the limit fair and permissive:
- You can retire a vehicle from the fleet and add a replacement without hitting the cap, provided the old one is set inactive.
- Removing access for a departed employee immediately returns their seat to the pool.
- If a company database is temporarily unreachable when the global vehicle total is computed, that company is excluded from the count rather than blocking everyone — the system errs toward allowing legitimate creation.
Checking your limits and current usage
Any signed-in user can read the current license, and the platform exposes lightweight checks the UI uses before you create something:
- A "can create company" check reports whether a new company is allowed.
- A "can create user" check reports whether a new user is allowed.
- A "can create vehicle" check reports the current global active vehicle count and whether another vehicle is allowed.
Tip: If you are close to a limit, review inactive vehicles and users first. Freeing active seats is often faster than changing your license, and it costs nothing.
Raising a limit
Seat limits are fixed by your license. To raise them, obtain a license key with higher maximums and have an administrator with the softwareLicense:manage permission apply it through the update/replace flow. Your existing companies, vehicles, and users are preserved.
