What happens when you reach a seat limit

This article describes exactly what happens when you reach a company, vehicle, or user seat limit in MobilityManager, the messages you will see, and how to get moving again.

What a reached limit does

Seat limits gate creation only. When a limit is reached, the platform refuses to create a new resource of that type but leaves everything you already have fully operational.

  • Existing companies, vehicles, and users keep working normally.
  • You can still edit, view, and deactivate existing records.
  • Only the action that would add one more over the cap is blocked.

The messages you will see

Before creating a resource, the platform runs a limit check and returns a clear reason when it fails:

Here N is the maximum your license permits for that resource.

Note: An expired license blocks all three creations with "License expired" regardless of how many seats are free — expiry takes precedence over seat availability.

How to free up a seat

Because users and vehicles are counted as active seats, the quickest fix is often to release seats you no longer need:

  1. Users: deactivate accounts for people who have left. Each deactivated account returns one user seat.
  2. Vehicles: set retired or sold vehicles to inactive. Each inactive vehicle returns one vehicle seat to the global pool.
  3. Retry the creation once seats are free.
Tip: The vehicle limit is shared across every company on the installation. If one company is full, inactivating vehicles in any company frees capacity for the others.

When you genuinely need more capacity

If your real fleet, headcount, or number of companies has outgrown the plan, raise the limit rather than juggling seats:

  1. Obtain a license key with higher maximums for the resource you need.
  2. Ask an administrator with the softwareLicense:manage permission to apply it through the update/replace flow.
  3. The new limits take effect immediately, and all existing data is preserved.

Over-limit situations from direct database changes

Normal use can never push you past a cap, because every creation is checked first. If vehicles are inserted directly into a database out-of-band and the active total ends up above the licensed maximum, the background integrity monitor records an over-limit warning for administrators. Existing over-limit vehicles are not deleted, but new vehicle creation stays blocked until the active total is back within the limit.
