Recording inspection due dates on a vehicle

This article shows you how to record and update a vehicle's next inspection due date so it feeds reminders and the Inspections Due Soon widget. The inspection date lives on the vehicle's Fahrzeugakte (vehicle file) and is maintained by fleet managers.

Where the inspection date is stored

Each vehicle has one next inspection date field. Depending on your tenant's regulatory framework it is shown as the next HU, §57a, or MFK date. This field is the single source of truth for the statutory inspection reminders, so it is worth keeping accurate.

Set or update the date

1. Open the Fuhrpark (fleet) module and select the vehicle.
2. Edit the vehicle and locate the next inspection date field on its Fahrzeugakte.
3. Enter the date of the next required inspection.
4. Save the vehicle.

Editing the vehicle record requires the vehicle management permission, which FleetManager and SystemAdmin roles typically hold.

Clear the date

If a vehicle should not track an inspection date — for example a decommissioned unit — you can clear the field instead of leaving a stale date. When the next inspection date is empty, the vehicle is simply excluded from inspection reminders and from the Inspections Due Soon widget.

Warning: An empty inspection date does not mean "no inspection needed" to your team — it means the vehicle silently drops out of all inspection reminders. Only clear it for vehicles that genuinely should not be tracked.

Keep it current after each inspection

After an inspection passes, update the field to the next due date rather than leaving the old one. Because reminders and the dashboard widget read this field directly, an out-of-date value will either keep alerting on a date already handled or stop alerting entirely.

How the date is used

• Inspections Due Soon widget — lists active vehicles whose next inspection date falls within the tenant's reminder threshold (30 days by default), sorted by the soonest, with the days remaining and the country-specific label.
• Daily inspection reminders — a background job notifies fleet managers about vehicles due within the threshold.

Only active vehicles are considered. Inactive vehicles are ignored even if they carry an inspection date.

Tip: The reminder threshold (how many days ahead a vehicle counts as "due soon") is a tenant setting called the inspection reminder days-before value. Ask a SystemAdmin to adjust it if 30 days is too short or too long for your workflow.
