Viewing upcoming and overdue maintenance
This article shows you how to see what maintenance is upcoming, due soon, or overdue across your fleet, and how to spot inspections that need attention. Viewing this data requires the maintenance:view permission; the Inspections Due Soon widget uses reporting access.
The maintenance dashboard
The Wartungsplanung (maintenance planning) dashboard gives you a fleet-wide snapshot. It shows:
- Active plans — how many maintenance plans are currently active.
- Overdue count — active plans whose next due date has passed.
- Upcoming count — active plans due within the next 30 days.
- Completed this month and total cost this month — drawn from completed records in the current month.
- Overdue items — the most overdue plans (up to 20), each with the vehicle, template, category, due date, and days overdue.
- Recent activity — the latest records that were created or updated.
Due status at a glance
Every plan carries a calculated due status based on its next due date, so you can filter and prioritize consistently:
| Status | Condition |
|---|---|
| Overdue | The next due date is in the past. |
| DueSoon | Due within 7 days. |
| Upcoming | Due within 30 days. |
| OnTrack | Due more than 30 days out. |
| Unknown | No next due date is set yet. |
Filter the plans list
In the plans list you can narrow results to find exactly what needs action. Filters include due status (for example Overdue or DueSoon), a specific vehicle, a specific template, and active state. You can also search by license plate or template name, and sort by next due date, vehicle, template, or creation date. By default the list shows active plans sorted by the soonest due date.
Tip: Filter the plans list by the Overdue and DueSoon statuses at the start of each week to build a short, prioritized worklist.
Records and status
To review individual jobs rather than schedules, use the records list. You can filter by vehicle, status (Scheduled, InProgress, Completed, Cancelled, Overdue), category, and a scheduled-date range, and search by title, description, or service provider.
Inspections due soon
Statutory inspections are tracked separately from plans. The Inspections Due Soon widget lists active vehicles whose next inspection date (HU, §57a, or MFK) falls within the tenant's threshold, ordered by the soonest, showing the license plate, brand, model, due date, days remaining, and the country-specific label.
Export for reporting
With the maintenance:view permission you can export plans, and export records over a chosen date range, to share schedules and spend outside the application.
