How maintenance plan reminders work
This article explains how the Wartungsplanung (maintenance planning) module generates reminders as a plan approaches its due date, and how you act on them. Viewing reminders requires maintenance:view; acknowledging or dismissing them requires maintenance:manage.
How reminders are generated
A background job scans active maintenance plans on a schedule and creates a reminder as each plan nears its next due date. It runs every 6 hours (after a short startup delay) and only runs when the Wartungsplanung module is licensed for the tenant.
For every active plan that has a next due date, the job creates reminders at three lead times before the due date:
- 30 days before due
- 14 days before due
- 7 days before due
Each reminder is created once per threshold. The job checks for an existing reminder for the same plan and reminder date before adding a new one, so you are not flooded with duplicates on repeated runs.
What a reminder contains
Each reminder records the plan and vehicle it relates to, the reminder date, the plan's due date, and a title built from the template name and the vehicle's license plate (for example "Oil service - W-12345"). When you view reminders, the system also shows the days remaining until the due date.
Reminder statuses

| Acknowledged | Someone has seen it and taken ownership. |
| Dismissed | Cleared as no longer needing action. |
View and filter reminders
Open the reminders area of the Wartungsplanung module to see the list, ordered by due date. You can filter by status and by a specific vehicle to focus on what matters. Each row shows the vehicle, title, due date, and days until due.
Acknowledge or dismiss
- Acknowledge a reminder to mark that it has been seen and is being handled. Its status becomes Acknowledged.
- Dismiss a reminder to clear it when no action is needed. Its status becomes Dismissed.
Both actions require the maintenance:manage permission.
Tip: Completing the service record linked to a plan recalculates the plan's next due date automatically. The next reminder cycle will then generate against the new date, so keep records up to date to keep reminders meaningful.
Note: A plan with no next due date does not generate reminders. If a plan is not producing reminders, confirm it is active and has a next due date set.
