How reminder timing works and notification preferences

Automated reminders in MobilityManager run on background schedules, and a few tenant-level settings shape when and how often they fire. This article summarizes the timing of each reminder job and explains which preferences you can and cannot configure.

How reminder timing works

Reminders are produced by background jobs that run on fixed schedules for every active tenant. The table below summarizes the timing for each type.

Reminder How often it runs Advance window
Inspection reminders (HU / §57a / MFK) Daily, first run around 07:00 UTC, then every 24 hours Tenant setting, default 30 days before due
Maintenance reminders (Wartungsplanung) Every 6 hours Fixed at 30, 14, and 7 days before due
Damage-case deadline reminders Every hour When the deadline has already passed
Note: Schedules are evaluated in UTC. A reminder appears at the next scheduled run after a record enters its advance window, so there can be a short delay between a due date changing and a reminder appearing.

The one setting you can adjust: inspection lead time

The clearest configurable preference is the inspection reminder lead time. It defaults to 30 days and controls how far in advance inspection reminders begin. A tenant administrator can change this value in the tenant settings to make inspection reminders start earlier or later. The same window drives the "Inspections due soon" dashboard widget.

Your tenant's regulatory framework — HU, §57a, or MFK — also affects reminders by determining which inspection label appears. It is chosen during onboarding and can be maintained in tenant settings.

Warning: Changing the inspection lead time or regulatory framework affects the whole tenant, not just your own account. These settings require administrative access to tenant configuration.

What is fixed

  • The maintenance reminder thresholds are fixed at 30, 14, and 7 days before the due date.
  • The job run intervals (daily, every 6 hours, hourly) are set by the platform and are not user-configurable.
  • The unread-count refresh in the notification bell polls about every 30 seconds; this interval is fixed.

Per-user notification preferences

The in-app notification center does not offer per-user preferences for turning individual notification types on or off. Instead, what you receive is determined by your role and permissions:

  • Inspection reminders go to users who can manage vehicles.
  • Booking approval requests go to users who can approve bookings.
  • Booking outcome notifications go to the driver involved.

If you are receiving — or not receiving — a particular reminder, the lever is your permissions and the relevant module being enabled, rather than a personal notification setting.

Tip: To change who receives inspection or approval notifications, adjust the affected users' roles and permissions rather than looking for an on/off switch in the notification center.
