Reading the utilization dashboard
This article walks you through the Utilization dashboard so you can read the fleet-wide averages, the flagged vehicle lists, and the counts at the top of the view.
The Utilization dashboard summarizes how hard your active fleet is working and highlights the vehicles that need attention. It requires the View reports permission (reports:view-all), granted to FleetManager and SystemAdmin by default.
Fleet-wide averages
Across all active vehicles, the dashboard shows five averages. Each is the mean of the corresponding per-vehicle figure.
- Average utilization — the composite score (60% time + 40% year-to-date mileage).
- Average time utilization — share of the lookback window booked.
- Average year-to-date mileage — mileage consumed against the annual allowance so far this anniversary year.
- Average projected year-end mileage — where the fleet is trending against the annual cap.
- Average lifetime mileage — odometer against the whole contract-period budget.
The counts
The dashboard classifies every vehicle into exactly one bucket and reports the totals:

| Total vehicles | Active vehicles included in the snapshot. |
| Near mileage limit | Projected year-end mileage at or above 90%, or composite at or above the over-utilized threshold. |
| Under-utilized | Composite below the under-utilized threshold and not near the mileage limit. |
| Normal utilization | Everything not flagged in either list above. |
The two flagged lists
Near mileage limit
Vehicles trending toward or over their annual mileage cap, ordered by projected year-end mileage (highest first), then by composite. Each row shows license plate, brand and model, the composite score, and the underlying time, year-to-date, projected, and lifetime percentages, plus current odometer, annual allowance, contract start, anniversary year start, expected service years, acquisition type (Owned or Leased), and status.
Under-utilized
Vehicles that are working too little, ordered by composite (lowest first). These are candidates for reassignment, pooling, or removal — see the dedicated article on identifying under-utilized vehicles.
Adjusting the dashboard
Three optional parameters change what you see without changing any data:
- Under-utilized threshold — composite percentage below which a vehicle counts as under-utilized (default 30%).
- Over-utilized threshold — composite percentage at or above which a vehicle counts as saturated (default 90%).
- Lookback days — the window used for time and mileage measurement (default 30, maximum 365).
Tip: Widen the lookback window to 60 or 90 days when a 30-day view is skewed by a quiet stretch such as a holiday period — a vehicle that looks idle over 30 days may be perfectly busy over a quarter.
Note: Inactive vehicles are excluded from the Utilization dashboard entirely. To see every vehicle including inactive ones, use the inventory section of the fleet overview report.
