Capture a notice by OCR scan or upload
OCR intake lets you turn a scanned or photographed penalty notice into a draft Strafmandat (penalty notice) without typing every field by hand. This article covers submitting a document for extraction; a companion article covers reviewing and confirming the result.
How OCR intake works
OCR intake runs against a document that is already stored on a mandate as a document asset. You submit that asset to the extractor, which reads it and returns a set of fields — each with a confidence score — that you then review and confirm. The extraction runs as a job you can check on, so a large or slow document does not block your screen.
Before you start
You need the Strafmandate module permission (strafmandate:view), held by the SystemAdmin and FleetManager roles by default. The notice document must already be uploaded as a mandate document. Supported document types are JPEG and PNG images, PDF, and plain text.
Step 1: Pick the document to scan
- Open the OCR intake area of the Strafmandate module.
- Choose the document to scan from the list of uploaded document assets. The picker shows each asset's file name, the mandate it belongs to, and when it was uploaded, sorted with the newest first — so you don't have to remember a numeric ID.
Tip: If the document you need is not in the list, upload it to the notice first as a mandate document (as a photo or notice attachment), then return to OCR intake.
Step 2: Submit the document for extraction
- Select the document and submit it for OCR.
- The system creates an OCR job in
processingstatus and runs the extractor. - When extraction finishes, the job moves to
completed. If something goes wrong, it moves tofailedand records an error message you can read.
What the extractor reads
The extractor returns the fields it can recognise on a typical penalty notice, each with its own confidence score, for example:
- Aktenzeichen (authority case reference)
- Amount
- Violation date
- Vehicle plate
- Location
- Authority name
The confidence score tells you how sure the extractor is about each value, so you can focus your review on the fields it is least certain about.
Note: Submitting a document does not create a penalty notice on its own. Extraction only produces a set of candidate field values. A notice is created only after you review and confirm the result in the confirmation step.
Step 3: Move to the confirmation step
- Wait for the job to reach
completed. - Open the extracted result to see each field and its confidence score.
