Create a user account
This article explains how to create a new user account in MobilityManager and, if you want, give the person a role in a tenant at the same time. Creating a user is how you onboard a colleague, driver, or administrator into the platform.
Before you start
Creating users is a role-gated action. You need the users:manage permission, which the SystemAdmin role always holds. A user with a custom role that grants users:manage for a tenant can also create users, but only within the tenants where they hold that permission. The FleetManager role can view users but cannot create them.
Note: There is no self-service sign-up. Every account is created by an administrator, who sets the person's initial password and shares it securely. The user changes it after their first sign-in.
Create the account
- Open the user administration area and choose to add a new user.
- Enter the person's email address. The email is also used as the username, so it must be unique across the platform.
- Set an initial password that meets the policy (at least 8 characters).
- Optionally enter a first name and last name.
- Optionally choose a tenant and a role to assign at creation. If you leave these blank, the account is created without any tenant role and you can assign one later.
- Save. On success the account is active immediately.

What happens after creation
The account is created as active, so the person can sign in as soon as you share their credentials. If you assigned the Driver role, the platform also creates a matching Fahrer (driver) profile in that tenant so the person can start booking vehicles.
Warning: Only a SystemAdmin can create a user with the SystemAdmin role attached. If a non-SystemAdmin tries to assign SystemAdmin during creation, the request is refused.
If creation fails
- "User with email … already exists" — the address is already in use; check whether the person already has an account.
- Password too short — use at least 8 characters.
- User limit reached — your licence has hit its maximum number of users; deactivate an unused account or contact your administrator about the licence.
