The Fahrzeugakte (vehicle file) overview

This article introduces the Fahrzeugakte (vehicle file) in MobilityManager, the single place where all information about one vehicle is brought together: master data, change history, usage, costs, technical specifications, contracts, and the end-of-life record.

What the Fahrzeugakte is

The Fahrzeugakte is the digital file for an individual vehicle. It combines the vehicle's master data with several dedicated views so a FleetManager can understand the vehicle's whole lifecycle from one screen. Opening any vehicle from the vehicle list takes you into its file.

Who can open it

Viewing the Fahrzeugakte and its tabs requires the Vehicles: View permission (vehicles:view). Actions that change the vehicle — editing, decommissioning, managing leasing rows — require the Vehicles: Manage permission, typically held by FleetManager and SystemAdmin.

What you can see and do

Verträge (leasing/financing)The leasing and financing contract rows attached to the vehicle.

Operational status badge

The file shows an operational status badge that is independent of the active/inactive booking flag. Possible statuses are Active, Reserved, InWorkshop, Ordered, SoldPending, Stolen, TotalLoss, Inactive, and Decommissioned. This lets you flag, for example, a vehicle that is currently in the workshop without deactivating it.

Decommissioning a vehicle

When a vehicle reaches end of life, decommission it from the file (requires Vehicles: Manage). You record a decommission date, a free-text reason, and a disposal method — Verkauf (sale), Verschrottung (scrapping), Spende (donation), Rückgabe Leasinggeber (return to lessor), or Sonstiges (other). A decommissioned vehicle can be reactivated if needed. Both events are captured in the history.

Note: Decommissioning is the permanent end-of-life record with a reason and disposal method. Simple deactivation, by contrast, only removes a vehicle from booking availability and is meant to be reversible.

Exporting the file as PDF

You can export the complete Fahrzeugakte as a PDF document for archiving, audits, or handover. The export is available to users with the Vehicles: View permission and produces a downloadable PDF of the vehicle's file.

Tip: Link the vehicle to a catalog variant so the Technik tab renders full manufacturer specifications automatically instead of you re-entering engine, dimension, and weight data by hand.
