Decommission (retire) a vehicle

This article shows you how to decommission (formally retire) a vehicle in its Fahrzeugakte (vehicle file), recording why it left the fleet and how it was disposed of. Decommissioning is the end-of-life lifecycle step; it is different from simply deactivating a vehicle.

Decommission versus deactivate

  • Deactivate turns off booking availability. It is reversible and carries no reason or disposal record — use it to take a vehicle temporarily out of service.
  • Decommission permanently retires the vehicle: it records a decommission date, a reason, a disposal method, and who performed it, and marks the vehicle as inactive with a Decommissioned badge.

Before you decommission

Decommissioning requires the Vehicles.Manage permission (FleetManager, SystemAdmin, or a custom role granted it). The action is blocked if:

  • The vehicle is already inactive or already decommissioned.
  • The vehicle has active or upcoming bookings. Cancel or complete those bookings first.

Decommission a vehicle

  1. Open the vehicle. On the detail header, choose Decommission.
  2. Set the Decommission date.
  3. Enter a Reason (free text, for example age and uneconomic operation).
  4. Select a Disposal method (see the table).
  5. Confirm. The vehicle becomes inactive, the Decommissioned badge appears, and a "Decommissioned" entry is written to the change history with your name.

Note: You must select one of these disposal methods; the system rejects any other value. For a leased vehicle being handed back at end of term, choose Return to lessor.
Tip: Decommissioning does not delete the vehicle. All of its data — history, contracts, plate timeline, costs — is preserved and can still be exported as a PDF. If you retired a vehicle by mistake, you can reactivate it.

After decommissioning

The decommission date, reason, and disposal method are shown in the decommission information panel of the Fahrzeugakte, and the vehicle no longer appears among active vehicles or accepts bookings. The record remains fully readable for auditing and reporting.
