Export the Fahrzeugakte as a PDF

This article shows you how to export a vehicle's complete Fahrzeugakte (vehicle file) as a single PDF document. The export bundles the master data, change history, usage history, and cost summary into one print-ready file you can archive or hand over — for example during a leasing return or an audit.
Who can export
Exporting requires only the Vehicles.View permission, so anyone who can view the vehicle — including FleetManager and SystemAdmin, or a custom role granted vehicle viewing — can generate the PDF. No management permission is needed because the export is read-only.
Generate the PDF
- Open the vehicle whose file you want to export.
- Choose the Fahrzeugakte PDF export action.
- The document is generated on the spot and downloaded. The file is named
fahrzeugakte-<licence-plate>-<timestamp>.pdf.
What the PDF contains
The export is a plain, structured document with the following sections:

| Stammdaten / Master data | Licence plate, VIN, brand and model, year, colour, pool, current odometer, allowed annual mileage, rate per km, and active/inactive status. |
| Decommission info | Shown only for a retired vehicle: decommission date, reason, and disposal method. |
| Change history | Up to the 50 most recent change-history entries, each with timestamp, change type, field, old and new value, and who made the change. |
| Usage history | Up to the 50 most recent bookings, with start and end dates, driver, and status. |
| Cost summary (TCO) | The reporting period plus total cost of ownership, broken down by cost category. |
Note: The change history and usage history are each capped at the 50 most recent entries in the export. For a fuller record, review those tabs directly in the Fahrzeugakte, where all entries are paginated.
Tip: The timestamp in the filename makes each export unique, so you can keep several snapshots of the same vehicle over time without overwriting earlier files. The header timestamp is in UTC.
When to use it
- Handing a leased vehicle back to the lessor with a documented history.
- Providing a self-contained record during an audit or internal review.
- Archiving a vehicle's file at decommissioning, since the data is preserved but no longer active.
