Recording leasing and financing contracts
Record leasing or financing contracts on the vehicle's Verträge (contracts) tab so acquisition costs flow into the Fleet Cost Cockpit and the vehicle keeps a complete contract history.
What the Verträge tab is for
Each row on this tab is one leasing or financing contract for the vehicle. A vehicle can hold several successive contracts over its lifetime — for example an initial lease followed by a renewal — and the tab preserves the full history by date range. Rows are listed with the most recent start date first.
These rows are the monetary source for the leasing/financing category in the Fleet Cost Cockpit, so keeping them accurate directly affects the total cost of ownership shown for the vehicle. Reading contracts requires vehicles:view; adding, editing, or deleting them requires vehicles:manage.
Fields on a contract row
| Field | Meaning |
|---|---|
| Lessor | Leasing company or financing partner (Leasinggeber). |
| Contract number | The contract reference from the lessor. |
| Monthly rate | Gross monthly leasing or financing rate. This is the amount that feeds the cost cockpit. |
| Residual value | Optional buy-out or residual value at contract end. |
| Included annual mileage | Optional mileage allowance (km/year) included in the contract. |
| Start date | When the contract begins. |
| End date | When the contract ends. Leave empty while the contract is still running. |
| Cost center | Optional cost-center override; when empty, costs fall back to the vehicle's own cost center. |
| Notes | Free text, e.g. special terms or the outright purchase price. |
Adding a contract
- Open the vehicle and go to the Verträge tab of the Fahrzeugakte.
- Add a new contract row and enter the lessor, contract number, and monthly rate.
- Set the start date. Leave the end date empty if the contract is currently active.
- Optionally record the residual value, included annual mileage, and a cost-center override.
- Save the row.
Editing or ending a contract
To close out a contract, edit the row and set its end date. To correct a mistake, edit the relevant fields and save. Deleting a row removes that contract from the vehicle's history and from cost aggregation, so only delete rows that were entered in error.
Tip: Set a cost-center override on the contract only when the leasing cost should be booked somewhere other than the vehicle's default cost center. Otherwise leave it empty so the vehicle's cost center is used automatically.
Note: A contract with no end date is treated as still running. If you renew or replace a lease, end the old contract before adding the new one so the history and cost attribution stay clean.
