Assigning a vehicle to a pool
This article explains how to assign a vehicle to a pool in MobilityManager, why pool assignment matters for booking, and how to move a vehicle between pools or remove it from a pool entirely.
Why pool assignment matters
A pool is a logical grouping of vehicles (for example "Executive Fleet" or "Shared Cars"). Pool assignment is optional, but it has one important consequence: a vehicle that is not assigned to a pool cannot be booked. The vehicle is still tracked — costs, history, inspections — but drivers cannot reserve it until it belongs to a pool.
Who can assign pools
Assigning or changing a vehicle's pool requires the Vehicles: Manage permission (vehicles:manage), typically held by FleetManager and SystemAdmin.
Assign a vehicle to a pool
You can set the pool when you first add a vehicle, or change it later.
- Open the vehicle and its edit form (or set the pool during creation).
- Select the target pool. The pool must exist and be active; an inactive or unknown pool is rejected.
- Save. The pool change is recorded in the vehicle history by pool name.
Move or remove a vehicle's pool
- To move a vehicle, select a different pool and save.
- To remove a vehicle from all pools, use the clear-pool option. The vehicle keeps all its data but becomes unbookable until you assign it to a pool again.
Note: Removing a vehicle from its pool is different from deactivating it. Clearing the pool leaves the vehicle active but not bookable; deactivating takes it out of service entirely. Choose the action that matches your intent.
Shared pool versus assigned pools
Pools differ in how drivers gain access:

| Shared pool | The organisation's shared car-sharing pool. All drivers have implicit access to its vehicles. |
| Standard pool | Only drivers explicitly assigned to the pool can book its vehicles. |
Tip: Put general-purpose vehicles in the shared pool so any driver can book them, and use standard pools with explicit driver assignments for vehicles that should be limited to a specific team or department.
Verify the assignment
After saving, the vehicle list and the vehicle file show the pool name in the pool column. A blank pool means the vehicle is currently unassigned and therefore not available for booking.
