Editing vehicle details

This article explains how to edit an existing vehicle's details in MobilityManager and which fields you can change after a vehicle has been created. Every change you make is recorded in the vehicle's Fahrzeugakte (vehicle file) history.
Who can edit vehicles
Editing a vehicle requires the Vehicles: Manage permission (vehicles:manage), typically held by the FleetManager and SystemAdmin roles. Users with only Vehicles: View can open a vehicle but cannot change it.
Edit a vehicle
- Open the Vehicles module and select the vehicle you want to change.
- Open its edit form.
- Update the fields you need (see the reference below).
- Save. Each changed field is written to the vehicle history with its old and new values, together with who made the change and when.
Fields you can edit

| Licence plate | Stored in upper case. Must stay unique within your fleet; a duplicate plate is rejected. |
| Brand and model | If you change the brand, pick a matching model. The model must belong to the selected brand and both must be active. |
| Year, colour | Free to change. Clearing the colour stores an empty value. |
| Allowed annual mileage, rate per km | These feed the utilization percentage and internal charging. |
| Next inspection date | The next statutory inspection (HU in Germany, §57a "Pickerl" in Austria, MFK in Switzerland). You can set a date or clear it. |
| Acquisition type | Owned or Leased. |
| Contract start date | Anchor date for the utilization anniversary year. Can be set or cleared. |
| Expected service years | Between 1 and 20; can be set or cleared. |
Fields that are changed elsewhere
A few values are not part of the standard edit form:
- VIN is set when the vehicle is created and is not changed through the edit form.
- Current odometer is updated through the dedicated odometer action, not the edit form. See "Recording the odometer and allowed annual mileage".
- Active/inactive status is controlled by the activate and deactivate actions.
- Pool assignment can be changed here, or removed entirely (see "Assigning a vehicle to a pool").
Note: Changes to the licence plate, brand, model, year, colour, allowed annual mileage, rate per km, next inspection date, pool, and several technical fields are all tracked. Reference values such as brand, model, and pool are recorded by their names, not their internal IDs, so the history stays readable.
Warning: Changing the allowed annual mileage retroactively affects the utilization percentage shown for the vehicle, because utilization is calculated from the odometer against the allowed annual mileage.
