Recording the odometer and allowed annual mileage

This article explains how to record the current mileage (odometer) for a vehicle in MobilityManager, how to update many vehicles at once, and how the allowed annual mileage relates to the reading you enter.

Who can update mileage

Updating the odometer requires the Vehicles: Manage permission (vehicles:manage), typically held by FleetManager and SystemAdmin. Users with only Vehicles: View can see the current reading but cannot change it.

The two together drive the utilization percentage: the higher the current odometer relative to the allowed annual mileage, the higher the utilization figure.

Update the odometer for one vehicle

  1. Open the vehicle.
  2. Choose the odometer update action.
  3. Enter the new reading in kilometres and confirm. The system returns the previous and new readings.
Note: A single odometer update accepts a value lower than the current reading to allow for corrections, but the system logs a warning when the reading decreases. Negative values are always rejected.

Update many vehicles at once (bulk)

When you collect readings for a group of vehicles — for example during a monthly round — you can submit them together in a bulk update.

  1. Prepare the readings, one per vehicle.
  2. Submit the bulk odometer update.
  3. Review the result: the system reports how many updates succeeded and how many failed, with a reason for each failure.
Warning: Bulk updates are stricter than single updates. A reading that is lower than the vehicle's current reading is rejected (you cannot roll an odometer back in bulk), as are negative values and unknown vehicles. Valid rows still apply even if some rows in the batch fail.

Setting the allowed annual mileage

The allowed annual mileage is part of the vehicle's master data. Set it when you add the vehicle, or change it later in the edit form. Because it is a tracked field, any change is recorded in the vehicle's history with the old and new values.

Tip: Keeping odometer readings current is what makes utilization and mileage-budget tracking meaningful. Establish a regular cadence (for example monthly) and use the bulk update to enter readings efficiently.
