Understanding the vehicle utilization percentage

This article explains the vehicle utilization percentage in MobilityManager: how it is calculated, what drives it, and how the acquisition and contract settings extend it into lifetime mileage-budget tracking.

What the utilization percentage measures

Utilization compares how far a vehicle has been driven against its mileage budget. It appears on the vehicle list and in the vehicle file, and it requires only the Vehicles: View permission (vehicles:view) to see.

How it is calculated

The percentage shown on the vehicle list is the current odometer divided by the allowed annual mileage, expressed as a percentage and rounded to two decimals:

Note: utilization % = (current odometer ÷ allowed annual mileage) × 100. If the allowed annual mileage is zero or not set, the utilization is reported as 0.

For example, a vehicle with a current odometer of 12,000 km and an allowed annual mileage of 20,000 km shows 60.00% utilization. Because the calculation uses the total odometer, a vehicle that has been in service for several years can show a figure well above 100% against a single year's allowance.

What drives the figure

  • Current odometer — update it through the odometer action to keep utilization accurate.
  • Allowed annual mileage — set on the vehicle and changeable in the edit form. Lowering it raises the utilization percentage; raising it lowers the percentage.

Lifetime mileage budget on the dashboard

Beyond the simple percentage, the utilization dashboard interprets a vehicle's mileage over its whole expected life using the acquisition and contract settings:

Expected service yearsCombined with the allowed annual mileage to form the lifetime budget (allowed annual mileage × expected service years). When empty, the tenant's default is used.
Acquisition typeOwned or Leased. This drives the wording and the severity of over-utilization warnings — overrunning a lease mileage allowance is treated differently from wear on an owned vehicle.
Tip: For leased vehicles, set the acquisition type to Leased, enter the contract start date, and set expected service years to the contract length. This lets the dashboard warn you before you exceed the contracted mileage and incur excess-mileage charges.
Warning: Utilization is only as reliable as your odometer data. If readings are stale, the percentage understates real usage. Keep readings current, ideally on a regular cadence.
