The vehicle list and filtering active or inactive vehicles
This article describes the vehicle list in MobilityManager, the information each row shows, and how active and inactive vehicles are handled so you can find the vehicles you need and keep your licensed fleet count accurate.
Who can see the vehicle list
Any authenticated user with the Vehicles: View permission (vehicles:view) can open the vehicle list. Deactivating, activating, and editing vehicles require the Vehicles: Manage permission, typically held by FleetManager and SystemAdmin.
What the list shows
The list is scoped to your tenant and sorted by licence plate. Each row summarises the key vehicle details:
- VIN and licence plate
- Brand and model (resolved from the shared catalog)
- Year and colour
- Current odometer and allowed annual mileage
- Rate per km
- Utilization percentage
- Pool name (blank if the vehicle is not assigned to a pool)
- Next inspection date
- Active or inactive status
Active versus inactive vehicles
By default the list shows only active vehicles. Turn on the option to include inactive vehicles when you need to see the full fleet, including those that are no longer available for booking.
| State | What it means |
|---|---|
| Active | The vehicle is in normal operation and can be booked (if it is in a pool). |
| Inactive | The vehicle has been deactivated. It is no longer available for booking, but all historical data (bookings, costs, history) is preserved. |
Deactivate a vehicle
- Open the vehicle you want to take out of service.
- Choose the deactivate action. The vehicle becomes inactive, and a "Deactivated" event is written to its history.
Note: A vehicle that is already inactive cannot be deactivated again; the system reports that it is already inactive.
Reactivate a vehicle
- Include inactive vehicles in the list and open the one you want to bring back.
- Choose the activate action. An "Activated" event is recorded.
Warning: Reactivating a vehicle is subject to the same global licensed vehicle limit as creating one. If the fleet cap is reached, activation is rejected until capacity is freed.
Vehicle count and licence usage
The module can report the current vehicle count so you can see how much of your licensed capacity is in use. By default the count includes active vehicles only; it can also include inactive vehicles when you need the full total.
Tip: Deactivation is reversible and keeps the vehicle's file intact. Use it for temporary removals. For a permanent end-of-life event with a reason and disposal method, use decommissioning from the Fahrzeugakte instead.
