Correcting stock with an inventory count
An inventory count (Inventur) reconciles what the system thinks you have against what is physically on the shelf, and posts the corrections for you. This article walks through the full count workflow. Creating, updating, and completing counts requires the warehouse:inventory permission; viewing counts requires warehouse:view.
How an inventory count works
A count captures a snapshot of each item's expected quantity, lets you enter what you actually counted, and calculates the variance. When you complete the count, the system updates each item's stock to match your count and records an adjustment movement for every difference — so the correction is fully traceable.
Step 1 — Create the count
- Open the inventory counts area of the Lagerverwaltung module and start a new count.
- Optionally add notes describing the count (for example the location or reason).
- Choose which items to include. Leave the selection empty to count every active item, or provide a specific list of items for a partial count.
- Save. The count is created with status InProgress and records who initiated it. Each included item is snapshotted with its current quantity as the expected quantity.
Note: The expected quantity is frozen when the count is created. Movements recorded after that point do not change the snapshot, so try to count promptly and avoid moving stock mid-count.
Step 2 — Enter the counted quantities
Open the count to see its lines. Each line shows the item, its storage location, and the expected quantity. Walk the shelves and enter the actual quantity you find for each item. As you enter actuals, the count tracks how many lines are counted and how many show a variance.
| Field | Meaning |
|---|---|
| Expected quantity | What the system recorded when the count was created. |
| Actual quantity | What you physically counted (you fill this in). |
| Variance | Actual minus expected. Positive means a surplus, negative means a shortfall. |
Tip: You can enter actuals over several sessions while the count stays InProgress. Lines you have not counted yet simply have no actual quantity and are left untouched at completion.
Step 3 — Complete the count
- Once you have entered the actuals you need, complete the count.
- For every line where the actual differs from the expected, the system sets the item's current quantity to the actual figure.
- It records an adjustment stock movement for the variance, referenced to the count, with a note showing the expected and actual quantities.
- The count's status changes to Completed and the completion time is stored.
Warning: Completion is final for that count — a completed count cannot be completed again. Review your actual quantities before completing. To correct a later discrepancy, run a new count.
Lines with no variance
Lines where the actual equals the expected, and lines you left blank, generate no movement and leave the item's stock unchanged. Only genuine differences produce adjustments, keeping the movement history clean.
Correcting a single item without a full count
For a one-off correction you do not need a full Inventur. A user with warehouse:manage can record an adjustment movement directly against the item. For periodic, auditable stocktakes across many parts, use an inventory count so every correction is grouped and referenced.
