Linking stock movements to vehicles and maintenance
When you issue a part for a repair or receive stock against an order, you can attach reference details to the movement so it stays traceable to the vehicle, maintenance job, or document it relates to. This article explains the reference fields and how to use them. Recording movements with references requires the warehouse:manage permission.
How linking works
The warehouse does not hard-wire parts to vehicles. Instead, every stock movement carries three optional reference fields that let you point a movement at another record:

| Reference type | What kind of record the movement relates to, for example a vehicle or a maintenance job (up to 50 characters). |
| Reference ID | The identifier of that record, so you can trace back to the exact vehicle or job (up to 100 characters). |
| Reference note | Free text describing the context, such as the reason for the issue (up to 500 characters). |
These fields are captured at the moment you record the movement and are stored with it permanently.
Link a part issue to a vehicle repair
- Open the part in the Lagerverwaltung module and start a new movement.
- Choose the Issue movement type and enter the quantity taken.
- Fill in the reference type to indicate it relates to a vehicle, and the reference ID with the vehicle's identifier.
- Add a reference note describing the work, for example the maintenance job or Fahrzeugakte (vehicle file) it supports.
- Save. The stock drops by the issued quantity and the movement keeps the link.
Tip: Agree on a consistent reference type wording across your team — for example always using the same label for vehicle-related issues — so you can filter and search movements reliably later.
Find linked movements
The module-wide movement list lets you search across the reference note and reference ID, alongside the item name and part number. Combined with the date-range and movement-type filters, this makes it easy to answer questions like "which parts were issued for this vehicle" or "what did we consume on this job". Viewing movements requires the warehouse:view permission.
Note: The reference fields are descriptive links you fill in, not enforced foreign keys. Entering an accurate reference ID is what makes the trace reliable, so double-check the identifier before saving.
System-generated references
Some movements are linked automatically. When you complete an inventory count, each resulting adjustment is recorded with a reference type of InventoryCount, the count's ID as the reference ID, and a note describing the expected and actual quantities. This keeps count corrections distinct from manual issues and receipts in the history.
Include references in exports
When you export movements to CSV, the reference type, reference ID, and reference note are included as columns, so you can reconcile part usage against vehicles or jobs in a spreadsheet.
