Low-stock thresholds and alerts

Minimum and maximum stock levels let MobilityManager tell you when a part is running low or piling up. This article explains how to set thresholds, how the stock status is derived, and where low-stock alerts appear. Setting thresholds requires the warehouse:manage permission; viewing alerts requires warehouse:view.

Minimum and maximum stock levels

Each part carries two thresholds:

  • Minimum stock (Mindestbestand) — the reorder trigger. When the current quantity falls below this, the item counts as low stock.
  • Maximum stock (Höchstbestand) — the upper bound. When the current quantity exceeds this, the item counts as overstocked.

You set both when creating a part and can change them at any time by editing the item. The maximum must be at least the minimum, and neither can be negative.

How stock status is calculated

The system compares the current quantity to the thresholds and assigns one of three statuses automatically — there is nothing to toggle:

Tip: Set the minimum to cover your typical lead time — enough stock to last until a reorder arrives — so the alert gives you time to act before you run out.

Where low-stock alerts appear

On the dashboard

The warehouse dashboard summarizes stock health at a glance, including:

  • Counts of items that are below minimum, in range, and above maximum.
  • The total value of stock on hand.
  • The number of movements recorded today.
  • A low-stock alert list of items below their minimum, ordered so the most severely depleted appear first (up to 20 items). Each alert shows the part number, name, category, current quantity, minimum level, and storage location.

In the inventory list

Filter the items list by the BelowMinimum stock status to see every low part, not just the top of the dashboard list. This is your working reorder list.

In the background

A background check runs automatically every six hours. It scans for active items whose current quantity has fallen below their minimum and logs a warning for each one, so low-stock conditions are recorded even when no one is looking at the dashboard.

Note: The six-hourly check writes to the system logs for administrators; it does not send email or push notifications. Use the dashboard and the inventory list for day-to-day monitoring.

Acting on a low-stock alert

  1. Open the flagged item from the dashboard or the filtered inventory list.
  2. Reorder from your supplier as usual.
  3. When the parts arrive, record a receipt movement for the delivered quantity.
  4. The current quantity rises and, once it reaches the minimum, the item leaves the low-stock list automatically.
Tip: If an item is frequently overstocked (AboveMaximum), review its maximum level or its ordering pattern — carrying excess ties up value you can see in the stock valuation report.
