Recording stock in and out movements

Every change to a part's on-hand quantity is captured as a stock movement (Bestandsbewegung). This article explains the movement types, how they change stock, and how to review the movement history. Recording a movement requires the warehouse:manage permission; viewing history requires warehouse:view.

Why movements matter

You never edit a part's quantity directly. Instead you record a movement, and the system adjusts the current quantity for you and keeps the movement as a permanent, auditable record. This means the on-hand figure always has a documented reason behind it.

Movement types

Note: You always enter a positive quantity. The movement type decides whether it is added to or subtracted from the current stock — you do not type a minus sign.

Record a movement

  1. Open the part in the Lagerverwaltung module.
  2. Start a new stock movement for that item.
  3. Choose the movement type (receipt, issue, return, or adjustment).
  4. Enter the quantity as a positive whole number.
  5. Optionally add reference details so the movement is traceable to a vehicle, job, or document.
  6. Save. The current quantity updates immediately and the movement appears in the item's history.

What the system checks

  • The quantity must be greater than zero.
  • The movement type must be a supported value.
  • An issue cannot take the stock below zero. If you try to issue more than is on hand, the system rejects it with an insufficient-stock error that shows the current quantity.
Warning: Because stock can never go negative, an over-issue is blocked rather than recorded. If the physical count really is lower than the system shows, run an inventory count to correct it.

Who recorded what

Each movement stores the user who made it (their ID and email) and the exact timestamp, so the history answers both "what changed" and "who changed it". This information is read-only.

Review movement history

You can view movements for a single item from its detail page, or open the module-wide movement list to see activity across all parts. The movement list can be filtered by:

  • Item
  • Movement type
  • Date range (from / to)
  • A search term matching the reference note, reference ID, item name, or part number

Movements are listed newest first. You can also export movements for a date range to CSV for reporting.

Tip: To reconcile a busy day, filter the movement list to that date range and export it — the CSV includes the type, quantity, references, and the user who recorded each entry.
