Setting Up HU and UVV Reminders
Overview
FMWeb automatically reminds your drivers by email about due general vehicle inspections (HU/TÜV) and UVV/DGUV inspections (accident-prevention inspections). The reminders are generated once a week on the configured send day and sent to the driver assigned to the vehicle.
Prerequisites
- Mail Task set up and active (article 01)
- „Infomails sollen versendet werden?" (Send info mails?) enabled for the client (article 02)
- HU/UVV dates maintained on the vehicles (Fahrzeugakte → Wartung/Termine, i.e. vehicle record → Maintenance/Appointments)
- Drivers with a valid email address assigned to the vehicles
Setup
- Open Systemadministration → E-Mail Einstellungen, tab „Wartung" (Maintenance).
- HU:
- Enable „Fahrer bei HU Fälligkeit informieren?" (Notify driver when HU is due?)
- Set the Vorlaufzeit in Tagen (lead time in days) (7–60 days before the due date)
- Select an email template
- UVV / DGUV:
- Enable „Fahrer bei UVV / DGUVO Fälligkeit informieren?" (Notify driver when UVV/DGUV is due?)
- Set the Vorlaufzeit in Tagen (lead time in days) (7–60)
- Select an email template
- Optional: „Fahrzeuge auch mit abgelaufenem Leasingvertrag anschreiben?" (Also contact vehicles with an expired lease contract?) – by default, vehicles whose lease contract has already expired are no longer reminded.
- Save.
Who gets the email – and who doesn't?
The recipient is always the currently assigned driver of the vehicle. In the following cases a vehicle is skipped (traceable in Email Monitoring, tab „Übersprünge", i.e. Skips):
- No driver is assigned to the vehicle
- The driver has a Fahrersperre (driver block)
- The driver is flagged as Selbstfahrer (self-driver)
- The driver has no email address or an invalid one
- The same reminder was already sent recently (repeat protection, so that restarts do not create duplicates)
- The vehicle is inactive, sold or decommissioned
Frequently asked questions
When exactly does the mail arrive? On the configured weekday (tab „Allgemein", i.e. General), as soon as the due date falls within the lead time. The actual sending then happens on the cadence of the Mail Task (a few minutes later).
Does the fleet manager get a copy? Not automatically for HU/UVV – those mails go to the drivers. Summary reports for the fleet manager are provided by the lease mileage projection report (article 06) or the „Werkstatttermine" (Workshop appointments) report.
How do I check whether reminders were generated? Under Protokolle (Logs) you see one entry per run (type „Hauptuntersuchung" / „UVV") with a status; Email Monitoring shows the delivery status and the reasons for skipping (article 07).
