Setting Up Tyre-Change and Driving-Licence Reminders
Tyre-change reminders
FMWeb reminds drivers about overdue seasonal tyre changes. The default reference dates are:
- Winter tyres: 1 October
- Summer tyres: Easter Monday
Setup
- E-Mail Einstellungen → „Reifenwechsel" (Email Settings → Tyre change) tab
- Enable „Überfällige Reifenwechsel an den Fahrer melden?" (Report overdue tyre changes to the driver?)
- Select an email template
- Optional: enable „Abweichenden Wechselzeitraum festlegen?" (Define a custom change window?) and configure:
- „Winter Tage vorher" (Winter days before) – this many days before 1 October the reminder window begins
- „Sommer Tage später" (Summer days after) – this many days after Easter Monday it ends
- Save.
The reminder goes to the vehicle's assigned driver; on the vehicle, the tyre equipment (summer/winter tyres or change dates in the tyre section of the Fahrzeugakte, i.e. vehicle record) must be maintained. Driver responses („tyres have been changed") come in through the Fahrerportal (driver portal) and appear in the Fahrermeldungen (driver reports) for confirmation.
Driving-licence reminders (driving-licence check)
FMWeb reminds drivers about upcoming or overdue driving-licence checks.
Setup
- E-Mail Einstellungen → „Führerscheine" (Email Settings → Driving licences) tab
- Enable „Überfällige Führerscheinprüfungen dem Fahrer melden?" (Report overdue driving-licence checks to the driver?)
- Set the Vorlaufzeit in Tagen (lead time in days) (0–30 days before the due date)
- Select an email template – use the placeholders
{{ license.days_until_due }}and{{ license.days_overdue }}to send different texts before and after the due date (article 03) - Optional: „Nur Mails versenden, wenn Fleet-ID eingetragen wurde?" (Only send mails if a Fleet ID has been entered?) – restricts reminders to drivers who have a Fleet ID on file (e.g. when the check is handled by an external service provider)
- Save.
You maintain the check dates per driver in the Fahrerakte (driver record) (tab „Fahrerlaubnis" / „Prüfungen", i.e. Driving entitlement / Checks). There you can also see when the last reminder was sent.
Who is skipped?
As with all driver notifications: drivers without a (valid) email address, with a Fahrersperre (driver block), flagged as Selbstfahrer (self-driver), or with the setting „Keine E-Mail" (No email) receive no reminders. The reasons can be viewed in Email Monitoring under „Übersprünge" (Skips) (article 07).
