The Driver Portal (WebRes): Reservations, Logbook and Reports

Audience: Drivers and fleet managers

Prerequisite: WebRes licence; back-office view: permission webres.view

Login

On the FMWeb start page, drivers choose "Als Fahrer anmelden" (Log in as driver), then their client, user and password. (Back-office users choose "Als Anwender anmelden" / Log in as user.) A driver's credentials are managed by the fleet manager in the driver record ("Kennwort zurücksetzen" / Reset password).

What drivers can do in the portal

Reserve a vehicle

Under Neue Reservierung (New Reservation), drivers book a pool vehicle. Depending on the client setting, the booking works in two ways:

  1. The driver selects a vehicle themselves from the available pool vehicles, or
  2. The driver submits a request (period, purpose, destination) – the WebRes manager in the back office assigns a vehicle later.

Confirmations run by e-mail (template area "WebRes", Article 03); recipients can confirm or decline a reservation directly via the links in the e-mail, without logging in.

Additional functions

  • Dashboard: Overview of one's own reservations; reservations can be edited
  • Fahrtenbuch (Logbook): document trips with mileage (if enabled)
  • Fahrzeugauslastung (Vehicle Utilization): utilization overview of the pool vehicles (if enabled)
  • Profil (Profile): maintain one's own data

Vehicle report

Via Fahrer Rückmeldung (Driver Report), drivers report without going through the office:

  • Kilometerstand (Mileage) – important for consumption figures and leasing projections!
  • Refuelling/charging – for fuel type "Strom" (Electricity) including the charging location (Home / Work / Public); home charging feeds into the Heimlade billing (Article 12)
  • Damage – with a description
  • Tyre change – confirmation of the seasonal change

The back-office side

  • WebRes Buchungen (WebRes Bookings) (/applications/users/webres, permission webres.view): view open reservations and assign vehicles. The menu item shows the number of open bookings as a badge.
  • Fahrermeldungen (Driver Reports; inbox, permission processing.inbox): review and approve incoming reports (mileage readings, damage, refuelling/charging, tyre changes). Only upon approval do these become receipts, damage records or Heimlade sessions.
  • Systemadministration → WebRes Einstellungen (System Administration → WebRes Settings): booking mode (driver selects vehicle vs. manager assigns) and further portal options per client.
  • E-Mail Einstellungen → Poolfahrzeugdisposition (E-Mail Settings → Pool Vehicle Dispatch): mail dispatch and template for reservation e-mails.

Frequently asked questions

A driver does not see the logbook/utilization. These areas can be enabled per client and are partly licence-dependent - check the WebRes settings and the licence scope.

Reservation mails don't arrive. Check the Poolfahrzeugdisposition (Pool Vehicle Dispatch) settings (activation + template) and the general mail diagnosis (Article 07).
