Creating Vehicle Pools and Flagging Pool Vehicles
Overview
Fahrzeugpools (Vehicle pools; group Fahrzeug, Vehicle, under /applications/generalMasterData/overview) group vehicles into bookable sets — e.g. "Pool Zentrale", "Transporter Süd", or "E-Fahrzeuge". Pools are the basis for two modules:
- Fahrerportal / WebRes (driver portal, Article 19): drivers can only reserve vehicles from pools they have been granted access to.
- Disposition (dispatching,
/applications/dispo/dashboard): the planning-board calendar can be grouped by pool; individual pools can be hidden there via the settings. Vehicles without a pool appear under "Ohne Zuordnung" (Unassigned).
Step 1: Create a pool
- Open Allgemeine Stammdaten → Fahrzeugpools and click "Pool hinzufügen" (Add pool).
- In the side dialog, enter the Bezeichnung (Name; required, unique) and save.
For each pool, the table shows the Anzahl Fahrzeuge (number of vehicles); expanding a row lists the assigned vehicles with license plate, make, and model.
Step 2: Assign vehicles to the pool
Assignment is done in the vehicle record (Article 20): select the desired vehicle pool there from the Pool dropdown. A vehicle always belongs to exactly one pool (or to none).
Step 3: Grant drivers access to pools
For a driver to be able to book in the driver portal, they need access to at least one pool. To set this up, open the Fahrerakte (driver record) and, under "Auf welche Pools hat der Fahrer Zugriff?" (Which pools does the driver have access to?), maintain the multi-selection of permitted pools.
For a new reservation, the driver portal shows the permitted pools and the number of vehicles in the pool in the availability diagnosis — so you can quickly clarify why a driver is not being offered any vehicles.
Frequently asked questions
A driver sees no vehicles when reserving — what's the cause? Check the chain: (1) Does the driver have pool access in the driver record? (2) Are vehicles assigned to the pool (column "Anzahl Fahrzeuge")? (3) Are the vehicles not already scheduled during the desired period?
Can I delete a pool that still contains vehicles? The deletion prompt does appear, but the vehicles thereby lose their pool assignment and can no longer be booked via WebRes. Assign the vehicles to another pool beforehand.
How do I hide decommissioned pools in dispatching? In the planning board via the dispatching settings: there, individual pools can be filtered out of the display without deleting them.
