Leave, Further Training and Appointments in the Driver File

Published:
Updated:

Module: Master data → Drivers → driver file, "Urlaub" (Leave), "Weiterbildung" (Further training), "Termine" (Appointments) tabs

Audience: Fleet managers, clerks

Required permission(s): drivers.view (view), drivers.edit (edit)

Shared operation

All list tabs of the driver file work the same way: at the top you filter via "Von Datum" / "Bis Datum" (From date / To date; pre-filled with the current calendar year) and apply the filter with "Anwenden" (Apply); "Zurücksetzen" (Reset) restores the yearly filter. An invalid range (end before start) is rejected with an error message. Each table offers a column selector as well as CSV/PDF export; with drivers.edit, "Hinzufügen" (Add), "Bearbeiten" (Edit) and "Löschen" (Delete) are additionally available.

The "Urlaub" tab

Here you document the driver's absences:

  • Start and Ende (End) (mandatory fields; the end must not be before the start)
  • Genehmigt? (Approved?) – flag for approved requests
  • Notiz (Note) – free text in the edit dialog

This lets dispatch and the backoffice see at a glance when a driver is unavailable.

The "Weiterbildung" tab

The tab lists all training courses the driver has completed. An entry consists of:

  • Weiterbildungsart (Type of further training) – selected from the catalogue of further training types
  • Prüfdatum (Check date) – when the measure took place or was checked
  • Hinweis (Note) – free text

Note: the Weiterbildung gemäß EU-Richtlinie 2003/59/EG (further training under EU Directive 2003/59/EC, for professional drivers) as well as medical and other examinations with automatic expiry calculation are not maintained here but on the "Prüfungen" (Examinations) tab (article 46).

The "Termine" and "Fahrtentagebuch" tabs

  • Termine (Appointments) shows, read-only, all calendar entries the driver is involved in – with licence plate, start/end, subject, place and note. This lets you see, for example, workshop or handover appointments for "their" vehicles.
  • Fahrtentagebuch (Trip logbook) lists the driver's trips with licence plate, destination and start/end mileage (requires the "Fahrtenbuch" / logbook licence; drivers record trips in the driver portal, article 19).

Both tabs are pure reports and are maintained elsewhere; they appear only with the appropriate licence.

Frequently asked questions

I do not see the Termine/Fahrtentagebuch/Schäden/Dokumente tabs. These areas are licence-dependent (calendar, logbook, damage management, document management). If the licence is missing, FMWeb hides the tab or shows a licence notice.

An older leave or further training entry is missing from the list. Check the date filter – by default only the current calendar year is shown.
