Processing Damage Reports
Overview
When a driver reports damage in the driver portal (article 19), the message appears in the Fahrermeldungen (Driver messages) inbox on the "Schadenmeldungen" tab. Only once you process it does a damage case arise in the system – the message itself does not yet change anything.
What the driver reports
The card or the processing dialog shows:
- Schadensart (Damage type: Kratzer / scratch, Delle / dent, Bruch / breakage, Glasschaden / glass damage, Sonstige / other)
- Schadensort (Damage location on the vehicle: Vorne / front, Hinten / rear, Links / left, Rechts / right, Dach / roof, Sonstige / other)
- Schweregrad (Severity: Gering / low, Mittel / medium, Schwer / severe)
- Schadensdatum (Damage date) and KM-Stand (mileage)
- "Unfall" (Accident) flag, where applicable with Eigen- or Fremdverschulden (own or third-party fault)
- Beschreibung (Description) and Bemerkung (Remark) from the driver
- Fotos (Photos) – thumbnails, enlarged with a click
Processing
In the "Schadenmeldung verarbeiten" (Process damage report) dialog you check and complete the following under "Freigabe-Informationen" (Release information):
- Confirm or correct Schadensdatum and KM-Stand
- Enter a Kurztext (short text; mandatory field, pre-filled with the driver's description)
- Set the Unfall flag as well as Eigen-/Fremdverschulden (own/third-party fault)
With "Verarbeiten" (Process) – as the note in the dialog states – "a new damage case is created in the system":
- The damage case is saved in the damage management with a vehicle and driver reference; the driver's remark is carried over as a note.
- The vehicle's mileage is updated to the reported reading.
- The message is considered done and disappears from the inbox.
The damage case then appears in the damage overview, in the vehicle file (Belege/Schäden area) and on the "Schäden" tab of the driver file ("Schadensmanagement" / damage management licence) and can be processed further there – for example with costs, insurance data and documents.
Discarding
"Verwerfen" (Discard) rejects the message, optionally with a reason for rejection. No damage case is created and no mileage is applied.
Frequently asked questions
The Process button stays inactive. Damage date, mileage and short text are mandatory entries.
Where do I see the photos later? The photos belong to the message. Transfer the shots you need into the document storage of the damage case or the vehicle ("Dokumentenverwaltung" / document management licence).
Who was informed about the damage? Processing itself sends no e-mails; it only documents who processed the message and when.
