Lease Notifications and the Mileage Projection Report

Overview

FMWeb monitors your lease contracts and informs you by email about:

1. Expiring contracts – in good time before the contract ends
2. Over-mileage contracts – the mileage projection exceeds the contract mileage
3. Under-mileage contracts – the vehicle is used significantly less than agreed
4. Consolidated mileage projection report – a single summary mail with all noteworthy vehicles

Unlike the HU/UVV reminders, lease notifications do not go to the drivers, but to a user you designate (e.g. the fleet manager), optionally with a CC address.

The „Leasing" (Leasing) tab

1. Turn on „Warnungen per E-Mail zu Leasingvertragsabweichungen aktivieren?" (Enable email warnings about lease-contract deviations?) (master switch for this area).
2. Expiring contracts:

• Enable „E-Mail zu auslaufenden Verträgen senden?" (Send email about expiring contracts?)
• Vorlaufzeit in Tagen (lead time in days) (7–360)
• Select an email template
• „Empfänger auswählen" (Select recipient) – the user who receives the warnings
• Optional „CC Empfänger eintragen" (Enter CC recipient)

1. Advanced contract usage („Erweiterte Funktionen zur Vertragsnutzung aktivieren?", i.e. Enable advanced contract-usage functions?):

• „E-Mail nicht in den ersten Monaten versenden" (Don't send email during the first months) – young contracts do not yet have a meaningful projection; typically 3–6 months
• „Erneute Prüfung nach wie vielen Tagen" (Re-check after how many days) – repeat interval, so that the same warning does not arrive every day
• „Überfahrung ab wie viel Prozent melden?" (Report over-mileage from what percentage?) – e.g. 105 = warning as soon as the projection reaches 105 % of the contract mileage (+ template)
• „Unterfahrung bis wie viel Prozent melden?" (Report under-mileage up to what percentage?) – e.g. 80 = warning at significant under-utilisation (+ template)

The „Berichte" (Reports) tab – the consolidated mileage projection report

Instead of many individual warnings, you receive a single summary mail with a table of all noteworthy vehicles (the template can iterate over the vehicles with {{ for vehicle in vehicles }}, article 03).

The report goes to the sender user chosen under „Allgemein" (General) (plus CC).

Prerequisites for correct projections

The mileage projection comes from the KFZ-Info calculation (article 14). For it to be accurate, FMWeb needs:

• Maintained lease contracts on the vehicle (term, contract mileage)
• Regular odometer readings – e.g. from the Tankkarten-Import (fuel-card import) or driver responses
